Job Summary

Administrative Assistant

We are seeking a proactive and detail-oriented Administrative Assistant to provide comprehensive support to our senior leadership team and ensure the efficient operation of the office. This role is critical in managing calendars coordinating meetings handling confidential information and streamlining communication across the organization.

Key Responsibilities

  • Provide administrative support to managers and employees ensuring smooth organizational and communication processes.

  • Handle confidential and time-sensitive material with discretion.

  • Manage and coordinate calendars for senior leaders prioritizing scheduling requests and resolving conflicts.

  • Monitor organize and draft correspondence for email communications.

  • Schedule and coordinate meetings (virtual and in-person) including logistics and technology setup.

  • Organize and maintain contact lists filing systems and office records.

  • Prepare and distribute memos letters reports and presentations.

  • Arrange travel itineraries (flights accommodations transportation) in compliance with company policies.

  • Create and manage purchase orders reconcile expense reports and monitor invoices.

  • Order and maintain office supplies ensuring inventory accuracy.

  • Provide general support to visitors and respond to inquiries.

  • Research prepare and generate reports and presentations for leadership.

  • Support multiple projects simultaneously ensuring timely delivery.

  • Ensure proper operation of office equipment coordinating maintenance and repairs.

  • Contribute to the professional development of administrative staff through training and growth opportunities.

  • Stay updated on industry practices by attending workshops reviewing publications and engaging in professional networks.

Qualifications

  • Education: High school diploma or equivalent; Associates or Bachelors degree preferred.

  • Experience: Previous administrative assistant experience ideally supporting senior leadership.

  • Technical Skills:

    • Proficiency in Microsoft Outlook and Microsoft Teams.

    • Experience with procurement systems (Coupa or similar) preferred.
