Executive Assistant to President
Reporting to the President - Canadian Operations your role is to provide valuable input to the President anticipate his needs and support him on a daily basis. The ideal candidate will have demonstrated experience in executive support a proactive attitude and the ability to manage changing priorities in a dynamic and fast-paced environment.
Main Responsibilities:
-Ensure very tight management of the Presidents calendar
-Plan internal and external meetings by proactively and continuously managing schedules
-Handle administrative procedures including travel bookings expense reports approvals and authorizations and CRM management
-Establish and organize the annual planning of events for the Canadian Cabinet
-Approve timesheets and verify that the expense accounts of the Presidents direct team comply with CGI standards
-Establish contact with clients administrative teams and internal administrative teams (clients executive assistants clients during visits etc.)
-Establish and organize event planning for the Strategic Business Unit
-Provide administrative support to the Vice President of Internal Operations
-Support the VP of HR Canada in managing her schedule expense accounts timesheets approval as well as the scheduling of team meetings
-Organize a quarterly meeting with the management team assistants to harmonize administrative practices
Requirements
-Completion of a university degree
-8 years of relevant experience in a similar role
-Administrative experience at an executive level within a large organization
-Excellent communication skills (oral and written) in both languages. Bilingualism is required for this role as CGI is a Canadian based global company.
-Strong writing editing and formatting skills for executive presentations
-Strong event planning skills
-Intuitive personality autonomous and able to take initiative
-Excellent listening skills and understanding of the needs of the President
-Sound judgment and speed in decision making and execution
-Proactivity analytical skills strong sense of priorities and management skills
-Professionalism diplomacy and understanding of the needs of clients and sector members
-Discretion loyalty and punctuality
