The Branch Coordinator is the Customer Service Guru and operational hub of the branch. This role ensures daily operations flow smoothly between clients field crews warehouse and management by owning communication scheduling documentation payroll coordination invoicing and reporting.

To provide exceptional customer service while coordinating scheduling documentation payroll support invoicing and reporting so the branch operates efficiently professionally and profitably.
Key Responsibilities
Client Communication & Front Office
Answer and route phone calls emails and texts promptly and professionally
Serve as primary client contact for scheduling service updates and documentation
Log job-related communications
Greet visitors and manage front office operations
Scheduling & Job Coordination
Schedule jobs after deposits and approvals are received
Maintain accurate job calendars and job folders
Coordinate daily with Warehouse and Production Managers
Send confirmations and prep instructions to clients
Case / Warranty / Service Management
Log and track service and warranty cases
Coordinate site visits and resolutions
Provide consistent client updates
Payroll & Time Tracking
Monitor employee time entries
Prepare weekly payroll and labor reports
Coordinate payroll distribution
Accounts Receivable & Invoicing
Prepare estimates
Invoice completed jobs
Track outstanding balances and follow up on AR
Apply and record payments
Compliance & Documentation
Collect new hire paperwork
Request and distribute COIs and W-9s
Maintain organized digital records
Reporting
Maintain job log
Prepare weekly AR and scorecard updates
