Key Responsibilities:
- Prepare letters reports records presentations and other documents from drafts corrected copies or recorded media; proofread and edit materials to ensure accuracy and quality.
- Screen distribute and respond to incoming correspondence; compose routine letters and replies based on general instructions.
- Coordinate daily communication with the Country Manager to ensure visibility on operational matters and priorities.
- Maintain departmental personnel and financial records including vacation and sick time reporting and keep organization charts up to date.
- Schedule meetings arrange appointments and coordinate travel reservations as requested.
- Support and assistance with activities for other countries in the region as required.
- Greet visitors answer telephone calls take messages and respond to inquiries following established guidelines.
- Order PCs laptops and peripherals in accordance with corporate standards; inventory order and maintain office supplies.
- Manage petty cash and expense reimbursements; support expense reporting using Navan or similar tools.
- Gather compile and prepare information and reports upon request.
- Provide guidance to employees on the preparation of administrative reports and documentation.
- Coordinate and schedule meetings with external vendors (e.g. hotels catering services and other service providers).
- Utilize office equipment and systems including computers standard software tools calculators and duplicating equipment.
- Participate in the Employees Committee supporting the coordination of meetings and events for Finance Sales and the Country Manager.
- Report directly to the Country Manager.
Key qualifications:
- Bachelors degree in a related field (preferred).
- Minimum of 3 years of experience as an Executive Assistant or Administrative Assistant preferably supporting leaders across the LATAM region.
- Experience with expense management tools such as Navan or similar platforms.
- Strong proficiency in Microsoft Office (Word Excel PowerPoint Outlook).
- Advanced English proficiency (fluent reading writing and verbal communication).

- Proactive and solution-oriented mindset.
- Excellent written and verbal communication skills.
- High level of autonomy discretion and attention to detail.
- Ability to manage multiple priorities in a fast-paced environment.
