Job Title: Client Services Lead
Front Office / Office Services Administrator/ Mailroom & Receptionist

Position Summary
The Front Office / Office Services Administrator & Receptionist serves as the primary face of the office delivering high-touch professional experience for clients visitors and employees. This role balances front-of-house hospitality with administrative office services and mailroom support ensuring seamless daily operations and consistently elevated client experience.

Key Responsibilities
Front Office & Client Experience
Serve as the first point of contact for clients visitors executives and vendors
Provide a warm polished and professional welcome experience aligned with corporate standards
Manage visitor registration guest badges and access protocols with discretion
Answer screen and route incoming calls and inquiries professionally
Anticipate client and executive needs and respond with urgency and professionalism
Maintain a pristine client-ready reception and front-office environment always
Client-Facing Administrative Support
Support executives and client-facing teams with scheduling and coordination
Assist with client meetings including room setup technology readiness and hospitality services
Coordinate catering refreshments and special requests for meetings and events
Serve as a point of contact for client inquiries related to office operations

Mailroom & Shipping Operations
Receive sort log and distribute incoming mail and packages promptly
Process outgoing mail overnight shipments and courier requests with attention to deadlines
Track and reconcile shipments using internal systems and carrier platforms
Coordinate courier pickups and deliveries (FedEx UPS USPS local couriers)
Maintain mailroom logs delivery confirmations and service metrics
Escalate shipment issues or time-sensitive deliveries to management

Office Services & Operations
Support daily office operations and front-of-house service standards
Submit and track service requests for facilities IT and building management
Monitor office supply inventory and ensure front-office areas are well stocked
Support onboarding and offboarding processes (badges access workspace readiness)
Communication & Professional Representation
Represent the organization with professionalism discretion and confidence
Communicate clearly with internal teams clients vendors and building partners
Maintain confidentiality when handling sensitive client or business information
Escalate operational concerns proactively to ensure service continuity

Qualifications & Skills
2 years of experience in front-desk client-facing office services or hospitality role
Exceptional customer service and interpersonal skills
Strong verbal and written communication skills
Professional presence demeanor and appearance
Ability to multitask and remain composed in a high-visibility environment
Proficiency in Microsoft Office (Outlook Word Excel Teams)
Ability to lift and carry packages (typically up to 30 lbs.)

Preferred Experience
Experience in executive reception corporate hospitality or professional services environments
Mailroom or shipping/receiving experience in a corporate setting
Familiarity with visitor management systems and shipping platforms

Work Environment
Onsite high-visibility front-office environment
Combination of client-facing reception and operational support
Standing walking and light lifting required

Compensation:
The expected compensation is anestimate and the final offer will depend on skills experience and other job-related factors.

Use of Artificial Intelligence (AI):
No AI or automated decision-making tools are used to screen assess or select candidates for this role. SPS uses the Greenhouse applicant tracking system which does not apply AI in these parts of the hiring process.
