1. JOB SUMMARY

Rathi Group is seeking a highly experienced HR Executive / HR Officer to manage end-to-end human resource operations and statutory compliance for its manufacturing facility. The role demands strong expertise in payroll management labour law compliance Factory Act regulations and employee relations. The incumbent will play a critical role in ensuring smooth HR operations regulatory adherence and effective coordination with statutory authorities.

2. KEY RESPONSIBILITIES A. Payroll & Statutory Compliance
  • Prepare and process monthly payroll with complete accuracy

  • Generate salary sheets and salary slips for all employees

  • Manage employee loans advances deductions and adjustments

  • Prepare and submit PF & ESIC challans within statutory timelines

  • Handle statutory documentation including Forms 12 15 and 25

  • Maintain and update salary master data in HR/payroll systems

  • Ensure error-free and timely payroll execution every cycle

B. Provident Fund (PF) & Employee State Insurance (ESIC)
  • Manage PF & ESIC registrations for new employees

  • Support employees with PF & ESIC services including:

    • Withdrawals transfers and claim processing

    • KYC updates and UAN activation

  • Handle PF DSC (Digital Signature Certificate) activities:

    • DSC registration updates and signature changes

    • Approval and verification of employee requests

  • Prepare and file annual monthly and half-yearly PF & ESIC returns

C. Labour Law & Factory Compliance
  • Ensure full compliance with Factories Act 1948 and applicable labour laws

  • Handle National & Festival Holidays compliance (Form 5 submissions)

  • Prepare and process Form 5A for holiday compensation and approvals

  • Manage Labour Welfare Fund contributions and filings

  • Maintain sanction lists and statutory registers as required

  • Ensure compliance with all Central and State labour regulations

D. Licensing & Statutory Administration
  • Coordinate renewal and maintenance of Trade Licenses

  • Manage Property Tax filings and payments

  • Handle Professional Tax registrations deductions and deposits

  • Track Compressor Fees License Fees and statutory renewals

  • Obtain and maintain equipment Fitness Certificates

  • Support ISM (Indian Standards Mark) entry documentation

  • Ensure validity and compliance of all statutory licenses and certifications

E. Employee Relations & HR Data Management
  • Act as the first point of contact for employee HR queries

  • Handle employee grievances professionally and confidentially

  • Support employee accommodation-related matters

  • Maintain accurate and up-to-date employee records in SpineHR Software

  • Ensure confidentiality and security of employee information

F. Operational & Compliance Support
  • Support HR-related Purchase Order (PO) documentation

  • Coordinate with government departments and statutory authorities

  • Maintain organized records of all HR and compliance documents

  • Prepare MIS reports and compliance reports for management review

3. QUALIFICATIONS & EXPERIENCE Education
  • Bachelor s Degree in Human Resources Business Administration Labour Law or related discipline

  • OR relevant professional HR certifications (IIRA CIPD or equivalent)

Experience
  • Minimum 5 years of experience in core HR roles within manufacturing or industrial setups

  • Strong hands-on experience in payroll processing and statutory compliance

  • In-depth knowledge of Factory Act and labour laws

  • Proven experience handling PF ESIC and labour-related statutory filings

4. TECHNICAL & BEHAVIOURAL COMPETENCIES Technical Skills
  • Strong understanding of:

    • Factories Act 1948

    • Shops & Establishments Act

    • Payment of Gratuity Act and related labour laws

  • Proficiency in HRMS / payroll software (SpineHR preferred)

  • Working knowledge of GST and Income Tax compliance

  • Expertise in online government portals and statutory filings

  • Advanced proficiency in MS Excel and MS Word

  • Strong communication and interpersonal skills

5. REPORTING STRUCTURE

Reporting To: Director Rathi Group
Coordination With: Finance Operations Compliance Legal Government Authorities

6. WORKING CONDITIONS
  • Work Location: Manufacturing facility (on-site)

  • Nature of Role: Desk work combined with shop-floor interaction and statutory office visits

  • Working Hours: Standard business hours with flexibility during payroll and statutory cycles

  • Travel: Local travel to labour offices PF/ESIC offices and statutory authorities as required

  • Environment: Office and plant-based work exposure

7. COMPENSATION & BENEFITS

CTC Range: 4.5 5.5 LPA
