Job Summary

Summary

Program Support Assistant provides administrative clerical and technical support to the Nurse Manger and Home Telehealth Lead for the Home Telehealth Program. The work follows a sequence of steps/processes that the employee can follow without supervisory assistance. Duties are varied routine/non-routine consist of collecting and analyzing data and assisting with coordination of enrolled patients. Serves as point of contact for patients medical center staff and community agencies. .


Duties

This position is located under Nursing Service Home Telehealth program at the
Department of Veterans Affairs Northern California Health Care System (VANCHCS)
which is a major inpatient and outpatient tertiary referral center with two hospital-based
divisions serving the VA Sierra Pacific Network (VISN 21). VANCHCS is an integrated
health care delivery system offering a comprehensive array of medical surgical
rehabilitative mental health and extended care to veterans in Northern California.

Major duties include but are not limited to the following:

  • Responsible for analyzing program specific reports from various databases ;software applications to draw information from a wide variety of sources including the VSSC; tracking statistical information in support of program operations.
  • Prepare reports: design detailed charts and graphs; and conducting special management studies requiring written presentations of findings
  • Recommendations forecasts and justifications; access status or outcomes in relation to established performance measures goals and objectives.
  • Receives and processes documents and reports in accordance with established procedures Identifies issues problems or conditions and seeking alternative solutions based on evaluation of the intent of applicable rules regulations and procedures.
  • Interface and be considered as an expert on a variety of computer
    software programs such as Microsoft Word Excel Skype PowerPoint Access for purposes of preparing reports documentation data tracking recording keeping and assisting patients and the Home Telehealth (HT) staff.
  • Responsible for establishing and maintaining inventory of all HT equipment.
  • Responsible for projecting/tracking the annual estimates of a
    variety of programmatic costs and responsible for compiling various budget reports as
    requested as well as maintaining accurate account of actual expenditures.

    • Physical requirements: The work is basically sedentary but requires walking standing bending and carrying light items such as books papers office supplies and Telehealth equipment. No special physical demands are required to perform the work. The incumbent must be flexible in adjusting to constant changes in the workload.

    You may qualify based on your experience as described below:

    • Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include but are not limited to: Performing responsibilities of the Geriatrics and Extended Care (GEC) Service from an administrative and clinical perspective; Ability to take data formulate recommendations and draw conclusions from analysis of the data. Analytical skills to organize and present data; Knowledge of and thorough familiarity with Microsoft Word Excel Outlook and PowerPoint are essential; Ability to access clinic data for management and tracking especially the patient registry and clinic scheduling portions; Knowledge of personal computers and management information systems is necessary and also be utilize various PC applications; Organizational and management skills in order to plan for the daily operational issues. Interpersonal skills to be able to have successful interactions with patients staff and the community; Ability to present effectively throughout the Medical Center and represent the GEC Service in many different forums; and Ability to possess good English oral and written communication skills and the ability to produce reports prepare correspondence and generally represent the service through written media.
    • Typing Proficiency Requirement: In addition to meeting experience requirement applicants for these positions must show possession of the following skills as appropriate. Applicants may meet these requirements by passing the appropriate performance test presenting a certificate of proficiency from a school or other organization authorized to issue such certificates by the Office of Personnel Management local office or by self-certifying their proficiency. Performance test results and certificates of proficiency are acceptable for 3 years. Agencies may verify proficiency skills of self-certified applicants by administering the appropriate performance Automation typing requirement of 40 words per minute typing speed - Words per minute are based on a 5 minute sample with three or fewer errors.
