What will you be responsible for
Key Responsibilities
Executive & Leadership Support
Provide end-to-end executive support to members of the APAC Leadership Team including calendar management inbox prioritisation meeting coordination and follow-ups
Act as a gatekeeper for leaders time proactively prioritising requests and managing competing demands
Anticipate leadership needs and address issues before they escalate
Support leaders in preparing for key meetings reviews and regional forums (agendas pre-reads notes actions)
Calendar Travel & Logistics Management
Manage complex calendars across multiple time zones (APAC EMEA US) ensuring efficient scheduling and adequate focus time
Coordinate domestic and international travel including itineraries visas accommodations and expense tracking
Plan and support leadership offsites regional meetings and leadership events (virtual and in-person)
Stakeholder & Communication Management
Act as a key point of contact between APAC leaders and internal/external stakeholders
Draft review and manage professional communications on behalf of leaders where appropriate
Coordinate cross-functional inputs and follow-ups to ensure timely execution of leadership actions
Handle sensitive and confidential information with the highest level of discretion
Operational & Business Support
Track action items deadlines and commitments from leadership meetings and ensure follow-through
Support regional projects and initiatives by coordinating inputs timelines and documentation
Maintain organised systems folders and records to enable smooth information flow
Identify opportunities to improve processes workflows and ways of working for the leadership team

APAC leaders are focused on strategy and decision-making not logistics
Meetings are well-prepared purposeful and followed through
Stakeholders experience clear professional and timely communication
The leadership team operates smoothly across markets and time zones
The EA is seen as a trusted reliable partner with strong judgement
Key Skills & Experience
5 years experience as an Executive Assistant or Senior Administrative role supporting senior leaders or leadership teams
Proven experience supporting leaders across regions and time zones
Strong organisational skills with the ability to manage multiple priorities simultaneously
Excellent written and verbal communication skills
High level of discretion integrity and professionalism
Comfortable working independently in a fast-paced virtual or hybrid environment
Strong judgement and confidence to make decisions on behalf of leaders when required
