Job Summary

Under general supervision and with latitude for independent initiative and judgment the Juvenile Operations Community Associates perform a variety of responsible clerical administrative and community-based support functions for the Department of Probation (DOP). This position requires adaptability versatility and flexibility with the ability to manage multiple tasks simultaneously in response to the operational needs of the assigned Branch(es).

The Community Associates support the day-to-day operations of the Department enhances communication between DOP City agencies and the public and assists probation clients and their families by providing information referrals and administrative support. Key responsibilities includes but are not limited to the following:

Clerical and Administrative Support

- Perform routine clerical tasks including creating sorting filing scanning locating and routing records case files and related materials

- Process incoming cases for various levels of probation using logging and control systems for tracking and statistical purposes

- Prepare case folders (both physical and electronic within the case management system) and assign cases to Probation Officers

- Document court actions and case outcomes accurately in the case management system

- Research case status and assist with case transfers as needed

- Digitally photograph probation clients and maintain associated records

- Compile statistical data and prepare required reports

- Assist with ordering and maintaining office supplies sorting and distributing mail maintaining record rooms and coordinating schedules for meetings and activities

- Prepare follow-up reports and maintain accurate and complete records

- May train and oversee subordinate staff or serve as a team leader as assigned


Community Aide and Client Support

- Provide front desk coverage on a rotating schedule by greeting probation clients family members and the public in a professional and courteous manner

- Respond to requests for information regarding Department of Probation procedures and services

- Arrange language interpretation services for individuals with limited English proficiency

- Assist clients and parents/guardians with the completion of required forms

- Provide clients with information and referrals to community-based programs and resources

- Improve communication between DOP and clients by assisting with information requests related to case management and automated office systems

- Support and encourage community participation in agency-sponsored programs and activities

- Other duties as assigned.

Qualifications :

Qualification Requirements
1. High school graduation or equivalent and three years of experience in community work or community centered activities in an area related to duties described above; or
2. Education and/or experience which is equivalent to 1 above.
