The Executive Assistant to the Superintendent and Cabinet ( Assistant Superintendent Chief Finance Officer and Chief Operations Officer) plays a critical leadership support role in a growing and dynamic school district. The Executive Assistant to the Superintendent and Cabinet provides comprehensive executive and administrative support serving as a trusted partner primary point of contact and operational anchor for the Superintendent and Cabinet. Communication Coordination & Customer Service
- Serve as the primary point of contact for the Superintendent and Cabinet modeling professionalism responsiveness and strong customer service.
- Coordinate communications between executive leadership district staff families community partners elected officials and the public.
- Answer screen and route phone calls; respond to inquiries; resolve routine issues or direct to appropriate personnel.
- Receive and welcome visitors and support meetings ensuring a positive and professional experience for all stakeholders.
- Coordinate and support Cabinet meetings attend Board meetings and serve as Board Clerk and support related governance work district-level meetings and special projects including agenda preparation materials minutes and follow-up.
Governance Compliance & District Systems Support
- Support Board policy review organization and updates including preparation of materials and tracking revisions or approvals.
- Assist with organization and maintenance of Board-related documents calendars and supporting materials.
- Provide administrative and organizational support for Standard Operating Procedures (SOPs) including version control and updates.
- Support tiered monitoring processes and Epicenter uploads by organizing documentation tracking submissions and supporting timelines.
- Assist with enrollment processes and summer school applications through coordination documentation tracking and communication support.
Information Management Problem Solving & Accountability
- Research compile and maintain information in support of executive functions district initiatives and compliance requirements.
Draft edit and format correspondence and materials including emails reports presentations contracts legal documents and confidential files. - Maintain organized electronic and physical filing systems with strict attention to confidentiality.
- Support safety facilities and operational compliance by tracking documentation deadlines inspections audits and certifications.
- Identify challenges or inefficiencies and propose practical solutions-oriented improvements to systems and workflows.
Professionalism & Growth
- Maintain strict confidentiality and exercise exemplary judgment at all times.

- Advanced proficiency in Microsoft Office Suite (Word Excel PowerPoint Outlook) and Google Workspace applications (Docs Sheets Slides Calendar Gmail) along with related technology tools.
- Exceptional organizational and time-management skills with the ability to juggle multiple priorities.
