Reporting to the General Manager the Business Coordinator Systems Administration plays a central role in ensuring the reliability functionality and effectiveness of the YMCAs membership and program management systems. With a strong focus on Salesforce this position supports daily system operations troubleshooting user training data quality and system enhancements that enable frontline success and organizational growth.
Working closely with operations system administrator and IT this role helps maintain and improve our CRM and related systems (including Salesforce Avocado platform). The Business Coordinator ensures system processes are efficient consistent and aligned with the needs of the membership and program teams.
Additional responsibilities include supporting strategic reporting planning optimizing workflows and ensuring that systems are used effectively to support the member experience and organizational goals.
Key Responsibilities
Systems Administration & Support
- Maintain a deep understanding of Salesforce and related membership/program systems including configuration functionality workflows and user experience.
- Provide front-line system support troubleshooting and issue resolution to membership and program teams.
- Collaborate with the Systems Administrator and IT on system maintenance updates testing and enhancements.
- Ensure data integrity accuracy and consistency across all systems.
- Support management with building KPI reports
- Support system integrations and help streamline cross-departmental workflows.
User Training & Operational Support
- Deliver system training for new and existing team members to ensure consistent and effective usage.
- Create and maintain system documentation training materials and process guides.
- Identify opportunities to simplify processes reduce manual work and improve user experience.
CRM Optimization
- Maintain and improve membership lifecycle processes within Salesforce (e.g. onboarding renewals cancellations financial assistance workflows).
- Support the configuration of dashboards automation and member engagement tools.
- Work with leadership to ensure that system capabilities align with strategic goals and service standards
Collaboration & Organizational Alignment
- Work closely with program and membership teams to understand operational needs and identify system-based solutions.
- Contribute to strategic planning process improvement and long-term system development.
- Model and support the YMCAs commitment to exceptional service and organizational values.
Qualifications & Experience
- 13 years of experience in system administration CRM management data operations or a related field.
- Hands-on Salesforce experience required including user support configuration or workflow management.
- Strong analytical thinking problem-solving skills and the ability to translate system needs into practical solutions.
- Excellent communication skills especially in training and supporting system users.
- Ability to manage a flexible full-time schedule to support operational needs.
