rybka Ellard Willson (REW) is currently seeking a Marketing & Proposals Administrator to support proposal coordination and marketing activities. This entry-level role is ideal for someone who is organized detail-oriented and eager to learn while working closely with experienced technical and leadership teams.
Role Overview
The Marketing & Proposals Administrator will support day-to-day marketing coordination and proposal administration in a fast-paced A/E/C consulting environment. This role is ideal for anyone looking to gain hands-on experience in proposal production document formatting and professional services marketing support.
You will work closely with the Marketing & Proposal Manager and technical staff to support high-volume proposal submissions and maintain consistent branding across all materials.
Key Responsibilities
Proposal Administration Support
Assist with formatting and compiling proposal submissions (Word/PDF)
Support updates to staff resumes (CVs) project sheets and proposal forms
Proofread proposal content for accuracy grammar consistency and formatting
Help maintain document control naming conventions and submission folders
Support coordination of proposal deadlines and internal reviews
Marketing Administration Support
Organize and maintain marketing content libraries and shared folders
Support updates to marketing collateral (project sheets one-pagers brochures)
Assist with branded templates (proposal and presentation templates)
Support basic LinkedIn content formatting and internal communications drafts
Help coordinate business cards email signatures and branded assets as needed
Qualifications
Currently enrolled in a Co-op program (or internship stream) in Marketing Communications Business Design or a related field
Strong attention to detail and organizational skills
Excellent written communication and proofreading ability
Strong Microsoft Word and PowerPoint skills (formatting-heavy role)
Experience with Canva / Adobe tools is an asset

The expected compensation range for this role is $50 000 $60 000 annually depending on experience skills and qualifications. Group health benefits are included.
