WHATSTHEOPPORTUNITY

Through the Canada Summer Jobs Program we are looking for three File and Resource Management Administrators to join our team on a temporary this role you will be responsible for organizing hard and soft copy client files across our archives and active Client Information Systems as well as assisting in aligning the storage and retention of legacy agency client files with our current policies of the unified agency of Camino Wellbeing Mental Health. You will play a key part in supporting the agency transition to a paperless file storage wherever possible and align the archive data systems to adhere to current policies.

This vacancy is dependent on successful funding through the Canada Summer Jobs program.

WHAT YOULL BE DOING:

    • Contribute to the plan and execution of a strategy to organize hard copy client files and archive electronic files following Caminos processes or ministry guidelines
    • Become the subject matter expert within the current client file management system (EMHware) fully understand the management retention and destruction of files in that system
    • Familiarize and have basic understanding of the archive database systems (Penelope Caseworks AIM Archive) and the connection between the various systems of client record storage.
    • Handle all access to hard and soft copy client files with the highest privacy integrity and confidentiality.
    • Upload and organize client files working closely with the Supervisors of Programs and Services and Administrative Supports for approvals on tasks where required and direction of file management.
    • Understand reporting function of the system pull and review clinical file upload reports
    • Data entry as required to digitize critical hard copy files into the client file management system.
    • Participate as a member of the Administration Support team by attending Client File Project meetings and team meetings.

    WHAT WERE LOOKING FOR:

      • Completion of or enrolment in a post-secondary education program within the social services field
      • 1-2 years of administrative experience preferred
      • Experience with client file management systems (EMHware AIM Penelope) a strong asset
      • Strong communication and organization skills
      • Computer proficiency in Microsoft Office Word Excel Outlook and PowerPoint
      • Working knowledge of office equipment Microsoft office programs and general computer skills
      • Strong attention to detail for effective and efficient data entry
      • Ability to work independently at times and as a team player as part of a larger team
      • Proven ability to solve problems


      ELIGIBILITY REQUIREMENTS:

      These positions are dependent on receiving funding through the Canada Summer Jobs program and therefore applicants must meet the following requirements should the application be approved:

      • Between the ages of 15 and 30 at the start of employment
      • Canadian citizen permanent resident or person to whom refugee protection has been conferred under theImmigration and Refugee Protection Actfor the duration of employment
      • Hold a valid Social Insurance Number at the start of employment and be legally entitled to work in Canadain accordance withrelevant provincial or territorial legislation and regulations
      • Full-Time Camino employees are ineligible for Canada Summer Jobs funded positions

        • This is a fulltime temporary employment position
        • The successful candidate will be notified of the funding decision once it is received by Camino Wellbeing Mental Health
        • Requires the ability to commute throughout the Waterloo Region to different office locations
        • Must be able to provide either proof of vaccination or documentation providing a satisfactory reason under the Ontario Human Rights Code for not being vaccinated
        • Must complete a satisfactory Police Record with Judicial Matters check
        • Wage: $20.90 per hour
        • Estimated start date for this role will be May 11 2026 and will end August 28 2026.
