Every day children and their families are harmed by Americas child welfare juvenile justice education immigration and healthcare systems. Childrens Rights uses civil rights impact litigation policy expertise and public education to hold governments accountable for keeping kids safe and healthy.
Job Summary
The Executive & Program Assistant provides high-level administrative support to the Executive Director and Chief Program Officer while serving as a key liaison to the Board of Directors. This role requires exceptional organization discretion judgment and the ability to manage multiple priorities in a fast-paced mission-driven nonprofit environment. The Assistant supports board governance internal operations and organizational communications and handles a wide range of administrative logistical and project-based responsibilities.
Duties/Responsibilities
Executive and Program Support
- Manage complex scheduling/calendaring for Executive Director and Chief Program Officer
- Coordinate travel arrangements for all CR staff
- Handle expense reporting and reconciliation through Concur including training new staff distributing monthly American Express invoices and coordinating with remote staff
- Prepare Amex reconciliation reports for Executive Director and Chief Program Officer
- Assist with scheduling interviews and coordinating logistics for candidate recruitment processes
- Perform ad hoc research and special projects as requested
Board of Directors Support
- Serve as primary administrative liaison to the Board of Directors
- Coordinate all aspects of board and committee meetings including scheduling preparation of board packets meeting logistics audiovisual needs refreshments and building access
- Attend full board and select committee meetings and take accurate timely minutes
- Manage and respond to board-related correspondence and information requests
- Fulfill internal and external requests for organizational and governance materials
- Handle miscellaneous correspondence/communications/occasional drafting of same
Office and Organizational Operations
- Coordinate staff meetings including conference room set-up room configuration and audiovisual support
- Act as organizational administrator for Zoom including staff training and troubleshooting
- Distribute daily mail and manage incoming correspondence
- Coordinate bi-monthly office meetings
- Provide discrete administrative support for the organizations annual gala and other key events
- Assist with internal communications and occasional drafting of correspondence or materials
General Responsibilities
- Maintain and exercise sound judgment in handling sensitive/confidential information
- Support organizational efficiency by proactively identifying administrative improvements
- Perform other duties and take on additional projects as required by organizational needs
Experience and Qualifications:
- Bachelors Degree required
- At least 5 years experience providing high-level support to a senior-level executive
- Excellent communication skills both written and oral
- Strong organizational time-management and prioritization abilities
- Demonstrated initiative attention to detail and sound judgment
- High level of proficiency with technology and administrative systems including Microsoft Office Suite Adobe Concur Zoom Google Docs and Dropbox (experience with calendaring tools such as Doodle or Calendly a plus)
- Ability to work collaboratively flexibly and professionally across teams
- Strong problem-solving skills including the ability to anticipate needs and implement solutions
Supervisory Responsibilities:
None.
Salary/Benefits: Salary range for this position is from $75K to $82K commensurate with experience. Childrens Rights offers an excellent benefits package including generous PTO medical dental flex spending accounts and retirement plan.
Physical and Travel Requirements:
Prolonged periods sitting and/or standing at a desk and working on a computer. Travel is not required.
Location: Downtown Manhattan. Hybrid work environment: May work remotely 2 days per week and must work in the office 3 days per week.
