Job Summary

Hanover High School is seeking an office assistant to support the administration and staff in maintaining a safe effective and positive learning environment for students by performing a full range of clerical and administrative functions for the administration faculty and staff including performance of key school administrative tasks. The ideal candidate has acommitment to working with and assisting teenagers andis personable and outgoing with the ability to work well with students staff and the community. Full-timeschool yearposition. Position starts April 13 2026 open until filled.

This position is governed by theHSS/NEA-NH Union Agreement.

Thisis a school year position with an hourly range of $20.00 to $26.25 depending on education and experience.

POSITION TITLE: OFFICE ASSISTANT

General Purpose:

To support the administration and staff in maintaining a safe effective and positive learning environment for students by performing a full range of secretarial/clerical and administrative functions for the administration faculty and staff including performance of key school administrative tasks.

POSITION DUTIES AND RESPONSIBILITIES:

Except as specifically noted the following functions are considered essential to this position:

  • The principal function of an employee in this position is to provide clerical support to the Main Office as well as provide customer service to the public.

General Responsibilities:

  • Greet and screen office visitors following school safety protocols
  • Answers incoming telephone calls. Forwards calls and messages in a professional manner
  • Sorting incoming mail for staff and students
  • Assist in managing email addresses
  • Assist volunteers in filling out online volunteer form
  • Answer general inquiries or disperse general information on school procedure and policy
  • Ensure daily student and staff attendance records are accurate and up to date as directed by building administration
  • Issue temporary and permanent bus passes communicate dismissal changes as needed
  • Act as point of contact for transportation issues that arise related to arrival and dismissal of students
  • Assist with school mailings including
    • collection and deposit of student fees (by email)
    • Principals Weekly email to parents students & staff
  • Issue and file NH State Youth Employment Certificates (if applicable)
  • Maintain records and logs of
    • Staff & student sign in/out
    • Visitor sign in
    • Staff meeting attendance
    • Recess schedule/outdoor classroom schedule
    • Open campus eligibility
    • Phone Lists
  • Maintain all school master calendars (staff classes public etc.)
  • Maintain and update websites as needed
  • Assist parents with general technology inquiries
  • Secretary for staff committees as assigned
  • Assist with March Intensive as needed (if applicable)
  • Coordinate substitutes (Keys schedules timesheets parking tags)
  • Maintain office inventory and supplies
  • Help troubleshoot issues and/or call for service for building copiers
  • Take initiative to assist other Administrative Assistant(s)
  • Assist with coordinating school sanctioned activities as assigned by building administration.
  • Act as backup to building administrative assistant as directed by building administration.
  • Performs all duties in a professional and appropriate manner while interacting with students parents faculty administration and co-workers. Perform other duties and accepts responsibilities as assigned
  • Must comply with all SAU 70 District policy and building / department rules procedures practices and objectives.

MINIMUM QUALIFICATIONS:

Education and Experience:

  • High School Graduate with at least one to three years experience in office setting
  • Expertise in computer applications (Microsoft Office Google Apps)
  • A concern and commitment to working with and assisting teenagers
  • Personable and outgoing with ability to work well with students staffand the community

Necessary Knowledge Skills and Abilities:

  • Ability to communicate with tact discretion and diplomacy and with a high level of professionalism and confidentiality as outlined by FERPA
  • Ability to communicate courteously efficiently and effectively with a variety of individuals including students faculty administrators parents and representatives of outside organizations.
  • Ability to work cooperatively and effectively with peers supervisors parents and outside agencies
  • Ability to handle peak pressure times during the school year
  • Flexible timely reliable organized and able to multitask as needed
  • Able to prioritize projects
