Job Summary

General Information:

Job title: Registration Supervisor

Schedule: Full-time 80 hours per pay period; working hours between 7:00am and 5:00pm.

Weekend rotation: No Weekends

Holiday rotation: No Holidays

**Additional Information: Position will be required to travel to outreach locations.**

Position Summary:

The Registration Supervisor oversees the day to day operations and overall performance of the Registration areas within the organization. The Supervisor is responsible for ensuring the team executes daily tasks efficiently to ensure the department operates smoothly.

Position Responsibilities:

  • Manages the operations of the Patient Registration Department by planning organizing directing and evaluating all activities
  • Ensures an accurate customer registration process providing needed statistics
  • Coordinate all work schedules for registration staff (Clinic Hospital ER/Urgent Care) to ensure adequate coverage as needed.
  • Manage the registration staffing and monitor daily performance to ensure duties are completed accurately efficiently and timely
  • Develops talent within the team including acquiring engaging and retaining
  • Works with other departments to ensure a smooth rapid customer flow from arrival to destination department resolving problems as they occur
  • Engage Team Member engagement
  • Set performance expectations and drive personal accountability
  • Create environment for team members to provide the best customer service
  • Leads the redesign of registration and intake processes and systems to improve service data integrity and staff productivity/quality to achieve departmental goals and process outcomes.
  • Develops effective decision-making communications and interpersonal relations to ensure a positive image of the Mile Bluff Medical Center Organization and to ensure customer satisfaction supporting and portraying strong customer service philosophies in all encounters:
  • Approve payroll and time off requests
  • Schedule and conduct registration meetings.
  • Prepare and distribute monthly specialty services calendars.
  • Manage and collaborate with registration trainer on training schedules for current and new registration and Patient Access staff.
  • Collaborate with other departments as needed.
  • Develop new registration and reception forms for all clinics.
  • Perform testing for all system(s) updates.
  • Create Bi-weekly provider time off reports.
  • Run monthly telephone reports.
  • Provide backup coverage in registration and reception at all clinic facilities.
  • Conduct staff rounding.
  • Perform employee annual evaluations conducting verbal and written reviews along with disciplinary action as needed
  • Submit purchase and maintenance order for the department as needed.
  • Participate in medical office emergency routine whenever required. Summon Triage assistance when needed.
  • Perform other duties as assigned by the Revenue Cycle Director.

Position Requirements:

  • High school diploma or equivalent required.
  • 3 years of experience as a Lead or in a leadership role in a Registration Department at a Healthcare facility.
  • Experience working in the medical industry preferred.
  • Exceptional accuracy and attention to detail required.

Knowledge Skills & Abilities:

  • Excellent customer service skills.
  • Excellent written and verbal communication skills.
  • Intermediate proficiency with computers is required.
  • Self-starter with excellent interpersonal communication and problem-solving skills.
  • Demonstrates knowledge of patient registration and point-of-service collections
  • Ability to work in a collaborative team environment
  • Ability to handle a high degree of pressure heavy workloads multiple requests numerous interruptions and short deadlines in a positive manner establishing priorities for effective work completion.
  • Adapts quickly to changing conditions assimilating new processes into job functions and taking ownership.
  • Exhibits superior management skills that emphasize team-building and strong leadership with the ability to provide clear direction to the department while also functioning as an individual contributor
