Role purpose
Run daily onsite facilities operations. Execute checks first response vendor coordination and evidencebased ticket closure.
Reporting Reports to: Facilities Manager Works with: Front desk / Client Relations / Security / Housekeeping vendors / IT (coordination) Scope Assigned Innovspace site (coworking managed offices) Daily readiness first response vendor supervision preventive maintenance execution support.
Key responsibilities :
1) Daily site readiness (before business hours) Complete daily readiness checklist before opening: power supply DG readiness UPS status HVAC functioning water supply toilets pantry lighting basic electrical points access control CCTV basic check cleanliness readiness (with housekeeping vendor) Share checklist with timestamp and any red flags to Facilities Manage.
2) Ticket handling and first response :
Log every facilities request in the ticket log (no verbal-only work). Categorize correctly: critical / major / minor. Provide first response within SLA. Fix basic issues directly if safe and within skill. Escalate immediately for: power/DG/UPS failures HVAC down water outage or major leak access control failure safety hazards.
3) Vendor coordination and supervision Coordinate vendor visits (electrical/plumbing/HVAC/civil/AMC) as instructed. Supervise onsite work: ensure quality safety cleanup confirm work matches scope collect service reports and parts replaced notes Escalate poor performance or delays same day.
4) Preventive maintenance (PM) execution support Follow the PM calendar issued by Facilities Manager. Execute assigned PM tasks and support AMC visits. Update PM logs with date/time work done and proof. Flag any equipment deterioration early.
5) Spares and consumables control Maintain minimum stock for essentials (as defined by Facilities Manager). Track usage and raise replenishment requests early. Prevent emergency purchases by planning.
6) Safety and incident handling Maintain daily safety readiness: exits clear signage visible extinguishers present and accessible trip hazards and leaks addressed fast Log incidents/near-misses with time location photos and immediate action taken. Stop unsafe work and escalate.
7) Client support (facilities only) Support managed office client requests that are facilities-related (minor moves fixtures basic maintenance) within approved scope. Keep communications factual. Do not commit timelines or costs beyond authority.
