  • Salary relative to experience and ranges from $113574.00 to $125720.00 plus super (Clerk Grade 7/8)

The role

This role is focused on keeping the Secretarys workflow moving efficiently by managing the steady stream of material that comes through signing sessions. Youll be handling approved products quickly and accurately as well as progressing straightforward rework requests tasks that often require fast turnaround and place sustained pressure on the teams capacity. Youll also help maintain continuity across the office by monitoring the OSEC correspondence mailbox stepping in during leave or acting periods to ensure incoming requests are tracked actioned and never left unattended.

A key part of the job involves driving selected business improvement activities including the early groundwork for the 2026 Signing Session Automation Project. As the new system is introduced youll help troubleshoot operational and technical issues so the transition is smooth and the office can realise the benefits of automation. This means working closely with colleagues understanding pain points and helping refine new processes as they embed.

Youll also provide additional support wherever the team needs it including ad hoc tasks and priorities allocated by the Manager Secretary Advice. This may involve coordinating urgent requests resolving bottlenecks or stepping in to help during peak periods when multiple pressures align. Flexibility good judgement and a willingness to pitch in are essential as the role often requires navigating shifting demands while keeping the broader work program on track.

What you will bring to the role

  • Comfortable distilling complex information into clear actionable advice that supports confident decisionmaking at the executive level.
  • Able to build trust quickly creating open channels of communication that keep the Secretarys Office connected to the rest of the Department.
  • Skilled at staying composed and solutionsfocused when the pressure is high ensuring quality and accuracy.
  • Proactive in spotting opportunities to streamline processes contribute to business improvement and support the transition to new systems and automation.
  • Highly organised with the ability to prioritise competing demands manage rapidturnaround work and adapt to shifting priorities across the team.
  • Outstanding stakeholder engagement skills fostering strong relationships and alignment with diverse stakeholders to achieve highquality outcomes.
  • Willing to step in wherever needed providing flexible support to the Manager Secretary Advice and the broader team during peak periods or ad hoc requests.
