2. Key Responsibilities
2.1 Operational Responsibilities
Ensure Executives and Stores Officers strictly follow laid-down cGMP procedures for all Stores activities.
Ensure daily documentation proper storage of materials in designated areas and verification of weights and drum labeling as per approved SOPs.
Supervise and ensure compliance during sampling and repacking of finished goods including proper documentation.
Assist staff in resolving queries related to finished goods dispatch and ensure instructions are followed strictly.
Plan and coordinate daily dispatch of finished goods as per dispatch advice from the Marketing Department.
Act as a single point of contact between the Marketing Team and the Factory for resolving daily dispatch-related queries.
Ensure cleanliness and housekeeping in and around the Stores Department.
Verify that all safety permits (work permits) are prepared implemented and reconciled wherever applicable.
Delegate responsibilities to other officers in case of absence of concerned personnel.
Assist superiors in achieving departmental and organizational goals.
Maintain harmonious working relationships within and outside the department.
3. Detailed Areas of Responsibility
3.1 Management – Leadership & Commitment
Understand and manage staff working under supervision effectively.
Ensure availability of appropriate and adequate manpower.
Maintain discipline and code of conduct within the department.
Supervise delegated work and ensure timely completion.
Coordinate with the Quality Assurance (QA) Department for routine documentation activities.
Take ownership and complete assigned tasks responsibly.
3.2 Human Resource Management
a) Internal Communication
Coordinate with co-officers for daily planning and execution of repacking activities based on dispatch advice from Marketing.
Ensure all documentation activities are completed within defined timelines.
Discuss and resolve daily operational issues through mutual discussions.
Report any incidents deviations or abnormalities to superiors promptly.
Keep superiors informed about daily activities and departmental status.
Communicate Marketing Department requirements to concerned departments.
b) External Communication
Coordinate with other departments for Stores-related activities and planning.
Communicate with the Marketing Department to resolve dispatch-related queries in a timely manner.
Ensure timely delivery of services requested by other departments.
Coordinate with the HSE Department / Medical Officer to ensure staff health and safety.
Prepare issue monitor and reconcile work permits after completion.
Communicate with HODs of other departments in case of abnormalities in routine activities.
Provide timely updates to the Marketing Department on queries raised.
