SUMMARY
The Spay/Neuter Clinic Manager plays a vital role in supporting CMACCs mission by leading the daily operations of the high-volume spay/neuter (HQHVSN) clinic. This position helps ensure that animals receive safe timely and compassionate surgical care while supporting clinic staff with clear structure organization and guidance.
Major Duties and Responsibilities
Clinic Operations & Workflow
The Clinic Manager supports smooth daily operations by helping ensure that:
Daily surgery schedules are prepared and communicated before the clinic day begins.
Veterinarians technicians and assistants understand their assignments and reporting times.
Animals move through intake surgery recovery and discharge using established protocols
Surgical instruments and equipment are cleaned sterilized and maintained according to guidelines
Anesthesia and recovery monitoring standards are followed consistently
Workflow delays or safety concerns are identified early and addressed in a timely solution-focused manner
Staff Leadership & Supervision
Assigning daily tasks clearly and consistently
Offering guidance when questions arise
Managing schedules payroll approvals and time-off requests
Monitoring performance and workflow
Supporting onboarding and training
Completing evaluations in alignment with City policy
Inventory Controlled Substances & Equipment Management
Monitoring inventory levels of surgical supplies medications and equipment
Tracking expiration dates and reordering proactively
Maintaining accurate DEA and state drug control logs
Supporting regular audits and compliance reviews
Administrative Oversight
Developing and maintaining clinic SOPs
Tracking key performance indicators (surgical volume outcomes staffing hours supply usage)
Assisting with budget planning and expense monitoring
Maintaining accurate documentation in Chameleon
Client and Partner Relations
Communicating clearly with shelter staff fosters and community partners regarding pre- and post-operative care
Addressing clinic-related questions or concerns professionally and calmly
Supporting community spay/neuter initiatives transports and special events
Compliance and Quality Assurance
Compliance with state veterinary regulations OSHA standards DEA requirements and ASV guidelines
Accurate medical and operational records in Chameleon
Consistent infection-control and biosecurity practices
Review and follow-up on incident reports in collaboration with veterinarians
Knowledge Skills & Abilities
Experience in veterinary clinic or shelter operations (35 years) including staff supervision
Knowledge of HQHVSN procedures anesthesia safety and shelter medicine best practices
Strong organizational and planning skills
Clear written and verbal communication
Comfort working with schedules inventories and structured processes
Experience with veterinary or shelter management software
Ability to problem-solve thoughtfully and efficiently
Preferred Qualifications:
Licensed or Registered Veterinary Technician
Prior supervisory experience
Minimum Qualifications:
High School Diploma or GED and prior experience working in a veterinary clinic.
Other Requirements
Ability to operate in an environment with frequent interruptions from people and or noises which in return could result in some level of stress fatigue or strain.
Working Conditions:
Indoor environment: Regular exposure to fumes or airborne particles animal transmitted diseases exposure to fractious frightened dangerous animals; mental and emotional stress from euthanasia; contact with irate/emotional pet owners and victims; frequent exposure to wet and/or humid conditions and vibration; potential for contact with toxic or caustic chemicals; the noise level in the work environment is usually loud.
CONDITIONS OF EMPLOYMENT
The Citys Background Check Policy requires background checks to be conducted on final internal or external candidate(s) applying for any position with the City of Charlotte. The type of information that will be collected as part of a background check includes but is not limited to: reference checks social security verification education verification criminal conviction record check and if applicable a credit history check sex offender registry and motor vehicle records check.
Background checks must be in compliance with all federal and state statutes such as the Fair Credit Reporting Act (FCRA). The checks must be consistent with the guidelines set forth by these laws requiring organizations to obtain a candidates written authorization before obtaining a criminal background report motor vehicle records check or credit report; and to properly store and dispose of information derived from such reports.
Final candidates must pass a pre-employment drug-screening test and physical examination. During the selection process candidates may be asked to take a skills test and/or participate in other assessments.
