What will you be doing as the Festival Assistant
The Festival Assistant (FA) is responsible for assisting with administrative tasks required by the Executive Director. Reporting directly to the Executive Directors or delegate the (FA) will demonstrate keen attention to detail to ensure all administrative tasks are completed for the Executive Director such as meeting minutes booking meetings financial reconciling email management preparation of meetings etc. The (FA) will be required to fill in at events and/or meetings when needed and be the point of contact for the Executive Director from the months of May and June.
Responsibilities include the following:
- Provide administrative support including email management and correspondence managing the transfer of documents and data coordinating meetings including bookings meeting minutes and other meeting functions
- Work with the Executive Director or delegate to ensure all Festival requirements are being met on time and to assist with the general organizing and prioritizing.
- Assist in events when needed as approved by the Executive Director. This could include but not limited to event coordination set up/take down pickups and deliveries for all Festival needs.
- Liaise with various vendors grantors staff and contractors to ensure Festival deadlines are on-track and completed.
- Support with reconciliation of all relevant Festival payments.
- Manage the Executive Directors schedule and ensure a balanced and efficient calendar
- Work with other department Managers and/or Directors to learn departmental needs and goals pertaining to Festival Weekend and special events.
- Liaise with the Sponsorship team to identify required deliverables and ensure needs are met.
- Support the coordination of various signage requirements throughout the Festival and special events.
- Complete all necessary administrative work as assigned and assist the Executive Director.
- Answer and triage incoming phone calls at the office and support with other reception needs as required.
- Assist with data entry management and software integration.
- Assist with Festival delivery and ensure any assigned tasks are completed in a timely manner
- Provide post-Festival support and undertake any other tasks as required to contribute to the overall success of Pride Toronto.
What are we looking for
- A valid G drivers license is an asset.
- Events experience with strong improvisation strategic planning & problem solving skills.
- Customer service experience with strong interpersonal & communication skills.
- Detail oriented and highly organized with excellent time management prioritization and multitasking abilities.
- Ability to work efficiently as part of a team and individually as needed.
- Ability to resolve problematic situations quickly.
- Keen interest and experience with data management software such as Zone Festival or other event software G-Suite and Asana .
Nice to haves:
- Familiarity with Pride Toronto.
- Experience working with 2SLGBTQI communities.
- Bilingual in French and English.
