The Brant Community Healthcare System (BCHS) Foundation is responsible for raising funds in support of the Brantford General and The Willett Paris. The BCHS Foundation is an engaged partner to the BCHS and contributions made to the Foundation benefit the purchase of patient equipment provide essential resources to enhance the exceptional care provided and invest in new and innovative technology at the BCHS.

Position Summary

The Office Assistant is a key member of the Brant Community Healthcare System Foundation team providing day-to-day administrative and program support to the team. This individual will act as a friendly first point of contact for all visitors and callers creating a welcoming and professional addition this individual will be an informed representative when interacting with our external and internal communities including donors visitors hospital personnel board members and community leaders. The Office Assistant will assist with data entry when needed participate in event logistics and represent the BCHS Foundation as needed.

Primary Responsibilities

  • Serve as the first point of contact for the BCHS Foundation providing professional positive and informative service to donors visitors hospital staff Board members and community leaders.
  • Manage front desk and office administration including processing daily mail maintaining calendars coordinating meetings preparing agendas and updating donor information in Raisers Edge.
  • Provide data entry and administrative support during high-volume donation periods including donation processing and preparation of tax receipts for mailing.
  • Maintain office operations by managing inventory placing supply orders and coordinating maintenance requests through the appropriate portal.
  • Administer the employee 50/50 draw by managing participants conducting draws each pay period and coordinating internal communications and promotion.
  • Coordinate BCHS Foundation merchandise sales including order intake payment processing using POS systems supplier liaison and inventory tracking.
  • Manage the vendor program including vendor booking internal promotion onsite setup and payment processing.
  • Support BCHS Foundation signature events including gala and golf tournament logistics as required.
  • Lead and coordinate third-party fundraising events in collaboration with community partners.
  • Receive coordinate and manage in-kind donations including items for Pediatrics and other departments.
  • Oversee equipment donations such as wheelchairs and walkers ensuring appropriate intake documentation and distribution.
  • Administer In Memoriam donations by communicating with next of kin preparing follow-up correspondence.
  • Support tribute programs by processing orders coordinating with suppliers liaising with donors for recognition placement and promoting tribute-giving opportunities.
  • Participate in evening and weekend work as required to support events and Foundation initiatives.

Mandatory Qualifications

  • Completion of a two-year Community College diploma in Business Administration Marketing Communications or a related field or an equivalent combination of education and relevant work experience.
  • Minimum 12 years of relevant experience in business administration communications fundraising or a related administrative role sufficient to achieve competence in the position.
  • Demonstrated ability to perform administrative and customer-facing duties in a professional confidential and service-oriented environment.
  • Strong organizational time-management and communication skills with the ability to manage multiple priorities and high-volume workflows.
  • Proficiency with standard office technology and software (e.g. email calendars document preparation data entry).
  • Experience working in a fundraising healthcare non-profit or foundation environment.
  • Experience with Raisers Edge or similar donor management/database systems. (Asset)
  • Experience supporting events donation processing or customer service in a public-facing role.
  • Ability to work independently and collaboratively across all levels of the organization.
  • Valid drivers license and access to a vehicle.
  • Criminal Record Check required
