Under general direction the Assistant Materials Coordinator ensures the efficient and reliable management of materials and supplies critical to SFO operations. It supervises and coordinates the materials management activities related to planning ordering receiving storage and distribution of a wide variety of essential materials while maintaining accurate integrated systems for tracking and controlling inventory. The role develops and enforces materials management policies provides expert guidance to departments and supports operational continuity by coordinating resources and resolving inventory-related issues.
What Youll Do:
- Provides materials equipment and supplies to the Facilities Division by directing receiving warehousing and distribution services; plans assigns supervises and reviews the work of subordinate staff engaged in the maintenance of inventory management records; prepares periodic and special reports of unit activities materials on hand and material usage; plans organizes and directs activities of subordinate staff to ensure appropriate planning auditing timely delivery and control of materials.
- Confers with section or division managers and supervisors regarding material support operations short or long range plans affecting supplies and usage and adjusts or recommends necessary inventory storage or reorder changes
- Evaluates inventory levels and reorder points by compiling and analyzing utilization statistics; advises management of significant transactions and trends; recommends changes in established targets when indicated; plans and directs annual and special inventories and equipment; and maintains a computerized inventory management information system; provides daily support to inventory tool room spare parts and other materials management functions
- Participates in the development and implementation of departmental policies and procedures in conformance with departmental and City and County purchasing and storeroom policies; develops and implements security policy; regularly reviews existing procedures and recommends revisions as necessary
- Selects and evaluates subordinate personnel; approves timesheet records; monitors and appraises work of subordinate staff and encourages productivity through coaching and counseling; documents and makes recommendations on employee performance and discipline; identifies training needs and determines appropriate training programs.
- Coordinates arrival of inbound freight; oversees all materials movement from receipt to final storage location or delivery to customer; implements improvements to gain efficiency in materials movement and storage.
- Safeguards warehouse operations and contents by establishing and monitoring security procedures and protocols; restricts access to inventory storage areas to authorized employees based on their assigned roles and responsibilities; establishes and enforces controls to decrease the risk of loss or theft; advises employees on the care handling and preservation of items received stored shipped and stocked.
- Achieves financial objectives by preparing an annual budget; scheduling expenditures; analyzing variances and initiating corrective actions.
- Maintains physical condition of warehouse by planning and implementing new design layouts; inspecting equipment; issuing work orders for repair and requisitions for replacement.
- Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks.
- Performs and documents physical counts of all inventory evaluates results and reconciles the physical count with automated record systems; maintains an integrated computerized inventory control system through subordinates by training and supervision
- Identifies and separates obsolete inventory from usable inventory; assesses and disposes of obsolete inventory at least annually and ensures adjustments are recorded in the inventory system in a timely manner.

Qualifications :
- Education: Possession of a baccalaureate degree from an accredited college or university with major college coursework in public administration economics industrial engineering or related field AND
- Experience: Three (3) years of verifiable experience in the operation maintenance and management of a complex computerized inventory management system for stores of materials supplies and equipment. The system must have included repetitive stock replenishment cycles. Two (2) years of this experience must have been at a supervisory level.
Education Substitution: Additional qualifying work experience as described above may substitute for the required education on a year-for-year basis up to four (4) years.
One-year full-time employment is equivalent to 2000 hours (2000 hours of qualifying work experience is based on a 40-hour work week). Any overtime hours that you work above 40 hours per week are not included in the calculation to determine full-time employment.
