The Need

Forover25 years IJM has pioneered the workto protectvulnerable people from violence.9 out of 9 times in the last decade IJMs Justice System Strengthening Projects have reduced slavery and violence between 50 and 85% forvery largepopulations of people in poverty.As we grow to expand our impact toprotect 500 million people from violence weareseekingaCoordinator Operations and Portfolio Management(OPM).

TheCoordinatorwill be involved inworkacross the programming portfolio of the Global Programs Division and thus will have a unique perspective on cross-cutting issuescommon challenges andpossible cross-fertilizationof toolstechniquesand approaches.They are expected to be proactive inidentifyingopportunities for intra-divisional experience sharing and streamlining.

This position is based in the Washington DC area and is available to be hybrid(onsite Tuesdays & Thursdays). It reports tothe Director of Operations and Portfolio Managementand is only available for candidates with the right to work in the US.

Responsibilities:

Leadership and Management

  • On select projects act in support of the project manager: schedule project meetings coordinate meetinglogistics set up interpretation services as needed record and document meetings.

  • On other projects act as primary project manager: create a project timeline maintain the project workflow facilitate cross-functional team communication produce tools to help key stakeholders engage in the project track action items design agendas schedule meetings and craft attendee lists translate shared documents as needed maintain project files ensure project deliverables are completed on time and to the satisfaction of the project holder.

  • Maintain workflows for assignedGlobal Programs Leadership Team (GPLT)membersincluding calendar timecard approvals etc. as delegated andhighlightcritical communications when they are out on PTO or sabbatical.

Strategy & Knowledge Development & Implementation

  • Develop andutilizetechnology skills to enhance the Divisions contribution to IJM strategic initiatives through:

  • Taking advantage of opportunities to learnappropriate newsoftware applications in use within the Division.

  • Serve as the SharePoint page administrator for content owners among assigned GPLT members.

  • Capitalize on the unique breadth of exposure to divisional activities to inform strategy byidentifying documenting and sharing with the GPLT any needs redundancies and collaboration opportunities for divisional teams and projects.

Networking & Partnership

  • Maintain IJMs culture and reputation by creating andmaintainingpositive working relationships with internal and external parties by corresponding over email or phone and when necessary byfacilitatingin person meetings and gatherings with colleagues vendors donors etc.

  • Provideadditionalsupport to the Chief Program Officers Executive Assistantto includerunning divisional meetings and coordinating divisional retreats.

  • Create andmaintainpositive working relationships with other coordinators and executive assistants across IJM globally.

  • Support the onboarding and orientation ofnew staffin the division.

Policies and Procedures

  • Contribute to the maintenance of style guides and internal best practices and standards as needed.

  • Document and diagram processes as needed.

  • Support Divisional leaders in compliance with all IJM policies affecting their work.

Communication

  • Assist assigned GPLT members in preparation of communications materials including inputs for division newsletters presentations or meetings.

  • Inform divisional strategy by documenting and sharing with the GPLT any needs redundancies and collaboration opportunities for divisional teams and projects.

Training and Development

  • Support the Director OPMin development and delivery of in-house training.

  • Maintain communications with andfacilitateregistration of participants in external training.

  • Keep records of participation and results of post-training feedback surveys.

Events and Logistics

  • Support the planning for and hosting of divisional team building events(to include booking venues organizing catering and planning activities).

  • Coordinate travel speaking engagements and major donor meetings forassigned GPLTmembers.

Clerical and Administration

  • Organize andmaintainthe calendars of senior leaderswithin theGPLT.

  • Design and distribute meeting agendas for GPLT members.

  • Complete minor administrative tasks forGPLTmembers(e.g. filing expense reportspaying vendor invoicesapprovingtimesheetssubmittingIT tickets etc.).

  • Provide basic technical supportto five GPLTmembers(e.g.troubleshootmalfunctioningZoom links explain how to screen sharedemonstratehow toinitiateinterpretationonZoom).

Qualifications:

  • Bachelors degree in International Relations Communications Business orotherrelevantfield.

  • At least 1 year of experience providing top-level administrative support infast-paced professional environment.

  • Experience working in a hybridworkenvironment.

  • Experience working in a cross-cultural environment.

  • Excellent grasp of the English language.

  • Ability to quicklylearnnew softwareapplicationssuchasMural Craft CMSFloDesk.

  • Expert use ofMicrosoftSuite oftools especially Outlook PowerPointExcel VisioandWord.

  • Expert use of Zoom WhatsApp Teams and other global communication platforms.

  • Proficiencyin Spanish is a plus.

  • Basic graphic design skillsarea plus.
