Primary Purpose
Under general supervision responsible for coordinating and providing support to the Academic and Student Affairs offices within the School of Health Sciences ( SHS ) on all three campuses. Responsibilities include management of course schedules support of student registration support of student success initiatives and enhancing the student experience. Reports to Director of Academic and Student Affairs.
Essential Functions
Supports the education journey of all students in SHS from enrollment management through graduation. Acts as primary point of contact for faculty students and administrative units regarding routing academic affairs inquiries and issues providing detailed guidance and escalating complex concerns to the Director of Academic and Student Affairs. Identifies and direct students to appropriate student support services on all three campuses. Coordinates the daily operational activities of academic affairs data management including but not limited to collection validation storage and retrieval ensuring accuracy and timeliness of data to support ongoing programmatic and institutional reporting requirements. Coordinates course scheduling and registration processes for all ten SHS departments working closely with the Director of Academic and Student Affairs and department chairs to maximize efficiency resolve conflicts and support continuous quality improvement. Supports the continuous process implementation and improvements in academic affairs and student support operations identifying bottlenecks and proposing actionable solutions. Assists the office of Academic Affairs with graduation tracking workflows and collaborate with the Universitys Registrars Office and to ensure accurate student records and timely processing. Serves as the primary point of contact for academic space reservations through EMS facilitating scheduling of classrooms and academic-related events to support instructional needs. Supports new student matriculation and orientation activities by organizing logistics and communications ensuring a seamless onboarding experience for incoming students. Partners with various University departments (Registrars Office Student Life Health Services Facilities) to design deploy and analyze campus-wide surveys coordinating follow-up actions based on survey outcomes to enhance and improve the student experience. Assists with the weekly assembly inventory management and quality control of student swag items creating and maintaining a check-in/check-out system to track usage. Collaborates with the SHS Events Manager to maintain the SHS events calendar to eliminate overlap of academic and non-academic events/meetings based on student schedules and to enhance student engagement and the student experience for events. Minimum Qualifications
Bachelors degree or two years of full-time experience in the same or similar position is equal to one (1) year of completed post high school education coursework. Minimum of 2 years of increasingly responsible administrative support experience.
Preferred Qualifications
Bachelors degree. Previous experience in an academic setting is highly desirable. Two (2) years work experience in programs/administrative coordination preferred. Knowledge of office methods and procedures. Intermediate level knowledge of Microsoft Word Excel PowerPoint Adobe Acrobat and e-mail systems. Ability to multitask work independently and work as a team. Ability to manage time organize duties/assignments and set priorities to meet multiple deadlines. Demonstrate excellent attention to detail problem-solving judgement customer service and follow-through skills. Project a professional image demonstrate strong interpersonal skills and communicate in a collegial and professional manner with administrators faculty staff and students. Communicate effectively and professionally with all constituencies. Resolve routine and complex problems with minimal consultation. Experience and sensitivity in working with people of diverse backgrounds and cultures. Demonstrated experience in advancing social justice equity and inclusion in a university setting. Ability to engage an integrate culturally responsive practices and knowledge in their work.
