Virginia State University invites applications for the position of External Scholarship Manager within the Office of Student Financial Aid. This position plays a critical role in managing external scholarship and grant programs while ensuring compliance with federal state institutional and donor requirements. The External Scholarship Manager serves as a key liaison between students families external organizations and campus partners and actively supports student success through effective scholarship administration and outreach.
The External Scholarship Manager is responsible for the planning coordination awarding and reconciliation of external scholarship and grant funds.
Key responsibilities include:
Managing the awarding and disbursement of external scholarship and grant programs in compliance with federal state and institutional policies
Counseling and advising students and parents regarding financial aid eligibility scholarship requirements and appropriate actions
Preparing scholarship reconciliations reports and documentation with a high degree of accuracy to ensure compliance with regulatory requirements
Receiving recording and processing scholarship funds including preparation of cash transmittals and coordination with the Cashiers Office
Communicating regularly with external organizations donors lenders and agencies regarding scholarship payments and account activity
Coordinating and participating in scholarship presentations outreach events orientations workshops and financial aid programs including evening and weekend activities as needed
Collaborating with Admissions Alumni Relations and other campus units to support scholarship initiatives
Maintaining confidentiality of sensitive student and institutional data and ensuring adherence to university policies and procedures
Performing other duties as assigned to support the overall operation of the Financial Aid Office
This position may require participation in evening or weekend events and presentations.
Minimum Qualifications
Bachelors degree from an accredited institution or a combination of education training and work experience equivalent to three years
Knowledge of financial aid policies procedures and federal regulations
Strong written and verbal communication skills and the ability to provide excellent customer service
Demonstrated ability to work collaboratively as part of a team
Ability to use automated systems and databases related to student financial aid (e.g. Banner FAFSA Partner Portal NSLDS COD or similar systems)
Strong organizational skills and attention to detail
Additional Considerations
Prior experience working in a college or university financial aid office
Experience managing or administering scholarship and grant programs
Familiarity with Banner or other student information systems
Experience with compliance reporting and financial reconciliations
Experience presenting to students families or external partners
