Job Description: Administrative Assistant with Bookkeeping
Fulltime - 40 hours per week.
Position Overview
The Administrative Assistant with Bookkeeping is responsible for providing
comprehensive administrative support while managing day-to-day financial tasks. This
role ensures smooth office operations accurate financial records timely reporting and
efficient coordination across departments. Ideal for someone highly organized detail-
oriented and comfortable handling both admin and basic accounting tasks.
Key Responsibilities
Administrative Duties
Manage daily office operations and provide general administrative support.
Handle email correspondence scheduling calendar management and meeting
coordination.
Prepare reports documents presentations and internal communications.
Maintain digital and physical filing systems.
Coordinate with vendors clients and internal teams.
Assist with onboarding HR documentation and basic recruitment coordination.
Organize travel arrangements and company events when needed.
Monitor office supplies and place orders as required.
Bookkeeping Duties
Record day-to-day financial transactions accurately.
Handle accounts payable and accounts receivable.
Generate and send invoices; follow up on overdue payments.
Process bills receipts reimbursements and expense reports.
Reconcile bank accounts credit cards and other financial statements.
Maintain accounting records in software (e.g. QuickBooks Xero MYOB Wave).
Assist in preparing monthly financial summaries and reports.
Support payroll preparation by providing data and documentation.
Coordinate with accountants for tax filings and year-end closing.
Job Qualifications
Minimum 2 years proven experience in administrative support and bookkeeping.
Familiarity with accounting tools (QuickBooks Xero MYOB etc.).
Strong organizational and time-management skills.
High attention to detail and accuracy.
Excellent written and verbal communication skills.
Proficiency in MS Office or Google Workspace.
Ability to handle confidential information with integrity.
Strong problem-solving and multitasking abilities.
Ability to learn new computer systems (intellect)
