About the role
We are looking for an Ecommerce Admin & Customer Support VA responsible for ensuring smooth daily e-commerce operations and delivering excellent customer support across customer service sales administration operations inventory and logistics.
This role is critical to maintaining data accuracy smooth operational workflows and excellent customer experiences. The ideal candidate thrives in a fast-paced environment is confident working across multiple systems and is proactive reliable and solutions-focused.
Responsibilities:
A. Customer Service & Sales Administration
Manage customer enquiries via Gorgias email social media and live chat providing timely professional and brand-consistent responses.
Track resolve and escalate customer issues as needed.
Support sales administration including promotional send-outs giveaways ad hoc orders and sales order data entry for marketing campaigns.
B. Operations Inventory & Logistics Support
Manage service requests drop shipments branch transfers and PO processes ensuring data accuracy.
Maintain vendor and product data coordinate inventory across warehouses and support 3PL and fulfilment operations.
Conduct cycle counts and monthly stocktakes reconcile discrepancies and manage logistics documentation.
C. Reporting & Systems
Prepare daily weekly and monthly operational inventory and sales reports.
Ensure data integrity across ERP WMS and e-commerce platforms.
Assist with process documentation continuous improvement and compliance adherence.
D. Founder & Brand Social Support
Create and manage Founder social content structure calendar and filming schedule.
Coordinate filming schedule and publish content on multiple platforms.
E. Marketing Support
Support Klaviyo campaigns Shopify product/content updates blog implementation and research tasks.
Maintain content calendars asset folders and timelines.
Support the Sales Manager with administrative tasks such as managing wholesale orders and spa accounts onboarding of therapists and adding them to the system and maintaining wholesale price lists in Excel.
Requirements:
At least 3 years of experience in administration operations logistics inventory supply chain or customer service roles.
Experience in retail e-commerce manufacturing or distribution environments is strongly preferred.
Proficiency with Shopify and ChatGPT or other AI tools is required.
Experience with Cin7 or other ERP/WMS platforms.
Strong skills in Excel; familiarity with Outlook Word Canva Kajabi and is a plus.
Exceptional attention to detail accuracy and organisational skills.
Ability to manage multiple priorities across customer support sales administration inventory logistics and other activities.
