JOB DESCRIPTION
Receptionist
centers on being the first point of contact welcoming visitors managing calls/emails scheduling appointments handling mail and performing administrative tasks like filing data entry and maintaining the reception area all while ensuring a professional welcoming atmosphere and efficient office operations. Key duties include greeting guests directing inquiries managing calendars/diaries coordinating meetings ordering supplies and providing support for other staff requiring strong communication organization and customer service skills.
Key Responsibilities:
- Front Desk Management: Greet and welcome visitors announce guests manage visitor logs issue badges and maintain a tidy reception area.
- Communication Hub: Answer screen and forward incoming phone calls take messages and respond to emails and inquiries.
- Scheduling & Coordination: Manage appointment calendars book meeting rooms arrange catering and coordinate travel plans for staff.
- Administrative Support: Sort and distribute mail/packages perform data entry filing photocopying and prepare documents (memos reports).
- Office Maintenance: Monitor and order office supplies liaise with maintenance/IT and ensure general office tidiness.
- Security & Facilities: May monitor access manage building access for new staff and assist with basic facility issues.
Essential Skills & Qualifications:
- Proven experience as a receptionist or Front Desk Representative.
- Excellent verbal and written communication skills.
- Strong organizational multitasking and time-management abilities.
- Proficiency in MS Office Suite (Word Excel Outlook).
- Professional appearance positive attitude and strong customer service orientation.
- Ability to handle confidential information.
- High school diploma or equivalent.
