Job Summary

We are seeking to recruit a Leasing Administration Officer to support a well-established organization within the local automotive industry. The chosen candidate will assist in overseeing and managing the daily administrative requirements of the leasing function.

Main Duties & Responsibilities

  • Provide day-to-day support to the Operations Executive and Sales Manager.
  • Supervise administer and monitor the daily workflow within the Leasing Administration function.
  • Handle and process documentation related to new vehicles including insurance and licensing.
  • Liaise with insurance providers regarding renewals.
  • Process road license renewals.
  • Coordinate with the Finance Department regarding invoicing for services such as car washes pest control stationery water cleaning services and fuel.
  • Attend any training required by the company.
  • Assign new vehicles to the appropriate car wash centre.
  • Process CVA payments and issue invoices to clients.
  • Identify vehicles requiring VRT testing and forward the information to the respective contact person.
  • Manage citation payments petitions point transfers and client invoicing.
  • Ensure that no penalty points from fleet vehicles are incorrectly attributed to company directors.
  • Welcome visitors at reception and guide them to the appropriate staff member.
  • Close and archive files for sold vehicles and arrange for insurance credit notes.
  • Open files for new vehicles both replacements and new leasesas sign drivers and maintain proper filing.
  • Maintain a high standard of work and service at all times.
  • Adhere to all company policies and procedures.

Job Requirements

  • O Level standard of education
  • Good working knowledge of Microsoft Office applications
  • Strong verbal and written communication skills in both Maltese and English
