We are seeking a strategic and resourceful Executive Assistant to support two PXT directors (IN and MEA) within our IES HR organization. This role offers an exciting opportunity to provide comprehensive executive support while contributing to various HR initiatives across our diverse global markets. The ideal candidate will demonstrate exceptional organizational skills cultural awareness and the ability to manage complex priorities in a fast-paced environment.
Key job responsibilities
Proactively manage complex calendars for two directors ensuring effective prioritization and seamless coordination across multiple time zones
Plan and execute comprehensive domestic and international travel arrangements including complex multi-day meetings and expense management
Lead the coordination of department-wide meetings and strategic planning sessions managing logistics and ensuring proper documentation
Develop and maintain efficient systems for organizing confidential documents and team resources
Manage meeting outcomes by capturing key decisions tracking action items and driving follow-through
Synthesize operational data and information for leadership reviews and presentations
Act as a key liaison between directors and their leadership teams facilitating communication and resolving queries independently
Manage communications and materials ensuring accuracy cultural appropriateness and proper business tone for HR documentation and leadership messaging
Collaborate with other executive assistants across regions to ensure alignment and consistency in processes
- 2 years of senior level leadership support or 1 years of senior level leadership support experience
- Bachelors degree
- Experience with Microsoft Office products and applications
- Experience with executive level calendar management
- Experience in a fast-paced high-tech company
- Experience managing multiple calendars
