Position Overview
The Body Shop Receptionist serves as the first point of contact for customers visiting or calling the dealerships collision center. This role supports the body shop team by managing customer communication scheduling appointments maintaining records and ensuring a smooth professional experience from dropoff to delivery.
Key Responsibilities
- Greet customers in person and over the phone with a friendly professional demeanor.
- Schedule repair appointments and coordinate with estimators technicians and insurance partners.
- Check customers in and out ensuring all required documentation is completed accurately.
- Maintain organized records of repair orders estimates invoices and customer files.
- Communicate repair status updates to customers in a timely and clear manner.
- Assist with processing payments and verifying insurance information when needed.
- Support the body shop manager and team with administrative tasks and daily workflow.
- Enter and update data in internal systems; generate reports as requested.
- Handle incoming calls emails and walkin inquiries efficiently and professionally.
- Ensure the reception area is clean welcoming and wellorganized.
Qualifications:
- Proficiency in Microsoft Excel and comfort working with dealership management systems.
- Previous receptionist or customer service experience preferably in an automotive setting is a plus.
- Strong communication skills (verbal and written) and a customer-oriented attitude.
- Proficiency in using CRM software and Microsoft Office Suite (Word Excel Outlook).
- Ability to multitask and prioritize in a fast-paced environment.
- Professional appearance and demeanor.
- Bilingual skills (Spanish/English) are a plus but not required.
