JOB DESCRIPTION

Reports to: Hotel Manager

Your role as a Front Desk Officer:
You will be the first point of contact for all guests visiting our hotel. Your role is to provide outstanding customer service manage front desk operations efficiently and ensure a seamless guest experience from arrival to departure.

Key Responsibilities
- Greet guests warmly upon arrival and ensure a swift and smooth check-in and check-out process.
- Manage all guest reservations via phone email online platforms or in-person ensuring accuracy and attention to detail.
- Handle guest inquiries requests and complaints professionally escalating to supervisors as needed.
- Maintain a high standard of personal grooming and professional appearance at all times.
- Answer and direct all incoming phone calls promptly and courteously.
- Maintain accurate records of guest information room availability and daily front desk logs.
- Issue room keys and process payments using the hotels Property Management System (PMS).
- Update guest folios and process billing transactions efficiently.
- Prepare daily reports such as occupancy reports arrival/departure lists and cash handling summaries.
- Responsible for daily stock taking for the hotels mini bar.
- Verify guest identification and ensure compliance with hotel security and safety protocols.
- Monitor visitor access and maintain security of guest information.
- Communicate important guest preferences VIP arrivals or incidents to relevant departments.
- Ensure that the front desk is always neat organized and well-stocked with necessary supplies.
- Follow all hotel policies regarding cash handling confidentiality and code of conduct.
Requirements
- HND in hospitality management business administration or other relevant fields
- Minimum of 2 years work experience in front desk management or similar roles
- Knowledge of hospitality operations is an added advantage
- Available to work flexible hours and on rotational shift including weekends holidays and night shifts.
- Must be analytical and detail-oriented.
- Excellent customer service and problem-solving skills.
- Excellent verbal and written communication skills.
- Strong interpersonal skills.
- Proficiency in IT and computer applications.
- Proficiency in MS Office Suites (Excel Word and PowerPoint).
Required Skills:
Requirements A Bachelors degree in Business Administration Business Management or any related field of study. Minimum of 5 years experience in a similar role or its equivalent. Experience in hospitality property and facility management is mandatory. Experience in business development is preferred. Strong managerial and leadership skills. Excellent organization negotiation and presentation skills. Ability to pay attention to details. Excellent communication skills. Good collaboration and delegation skills. Working knowledge in MS Office Suite. Competencies Strong organizational skills Confident Communicator Analytical Team Player Strategic Thinker.
