The West Daly Regional Council covers 14000 square kilometres and is located about 300 to 420 kilometres south-west of Darwin. The area is mainly rural with three Indigenous communities at Peppimenarti Nganmarriyanga and Wadeye which are managed by West Daly Regional Council (Council).

Position Summary:

The Customer Relations Officer is responsible for delivering high-quality administrative and customer service support with a strong focus on coordination assistance and ensuring the smooth day-to-day operations in the Darwin and West Daly Region.

The key duties of this role include but are not limited to:

Administrative Support:

  • Provide standard reception and general administration functions; answer phone calls and respond appropriately to the callers needs; welcome visitors to reception in a professional manner; meeting room and hospitality management collect and process incoming and outgoing mail; manage pool car bookings and monthly pre-start checks; manage visitor access passes.
  • Manage day to day operational and administrative issues associated with the effective functioning of Darwin office including serving as the first point of contact for internal and external people and manage and maintain comprehensive office administrative systems and identify and implement improvements
  • Communicate professionally with internal and external stakeholders (e.g. Elected Members Council staff and members of the public); provide information and guidance in line with Councils Policies and Procedures.
  • Perform a variety of administrative tasks support services and projects and assist in the preparation of reports and correspondence on behalf of the Office of the CEO as and when directed.
  • Address inquiries from internal and external stakeholders promptly and professionally.
  • Ensure the efficient operation of tasks such as record-keeping drafting correspondence filing and handling telephone calls.
  • Oversee the ordering and receiving of stock for the office including stationery and other supplies as required.
  • Organise catering appointments meetings and booking of meeting rooms for internal and external stakeholder meetings.
  • Organise and coordinate detailed travel itineraries for business travel training sessions and/or conferences as required including preparing Journey Management Plans and travel allowance claim forms.
  • Provide general office support including but not limited to mail collection order pick-ups and package drop-offs.
  • Ensure office and common areas are professionally presented at all times; liaise with internal and external service providers where required to ensure a clean professional and safe environment; dispose of consumables where required.

People and Culture:

  • Data entry including documents spreadsheets and specific systems when required
  • Coordinate the purchase and supply of staff uniforms in line with Council policy and manage uniform stock and issuance.
  • Provide administration support to ensure timely completion of recruitment onboarding performance reviews probation reviews and other basic People and Culture initiatives.
  • Provide assistance with the completion of all relevant tenancy management documents including tenancy agreements condition reports electricity forms.
  • Engage in innovative People and Culture initiatives that contribute to the achievement of organisational objectives.

Other Duties:

  • Support other community sites as needed.
  • Other duties commensurate with skills and experience as directed by the Line Manager.

About You

To be successful in the role you must have:

  • Excellent listening written and verbal communication skills with the ability to effectively communicate across all levels within the business.
  • Experienced with Microsoft Office Suite and the ability to utilise a range of other computer programs to produce reports and correspondence;
  • Current National Criminal History Check;
  • Working with Children (OCHRE) Card;
  • Ability to travel by 4WD and light aircraft and stay overnight when required.
