Job Summary

  • Manage complex calendars including scheduling meetings appointments and travel arrangements for multiple executives 
  • Coordinate and prioritise incoming requests and messages ensuring timely responses and follow-up actions 
  • Prepare and edit correspondence presentations and other documents on behalf of senior executives 
  • Act as a liaison between senior executives and internal/external stakeholders including clients partners and vendors 
  • Attend meetings take detailed notes and distribute meeting minutes as needed 
  • Conduct research and gather information to support decision-making processes 
  • Assist with special projects and initiatives as assigned collaborating with cross-functional teams as necessary 
  • Plan and organise team events such as all hands off-site meetings retreats and team-building activities to promote collaboration and morale 
  • Coordinate team-based reward and recognition programs to acknowledge and celebrate the achievements and contributions of team members 
  • Maintain confidentiality of sensitive information and exercise discretion in handling executive matters 
  • Anticipate and proactively address potential issues or conflicts demonstrating problem-solving skills and sound judgment 
  • Provide support to other members of the administrative team as needed 

 


Qualifications :

  • Will have a minimum of 3 years experience as an Executive Assistant supporting C-suite executives. 
  • We are flexible on industry exposure however coming from a fast-paced environment is highly desired 
  • Excellent computer skills including the Microsoft Office Suite Slack Confluence and Jira 
  • Exceptional writing editing and proofreading skills 
  • Excellent organisation and time-management skills 
  • Background in events highly regarded 
  • A track record of excellence in high-performance settings
