Were seeking a highly organized and detail-oriented individual to join our Dental Clinics team! In this vital position as the WOC Dental Office Assistant Senior you will have the opportunity to provide complex clerical and administrative support playing a key role in the smooth operation of our clinics. Your contributions will include optimizing schedules preparing and distributing monthly management reports program resources for computer applications meetings and training support and special projects to the Dental Clinics.

This position will work on site at the Dental Clinics located at Mid County Health Center and Rockwood Health Center each week.

The WOC Dental Office Assistant Senior responsibilities will include:

  • Managing provider schedules for all dental clinics in order to maintain and optimize work-flow.

  • Performing weekly schedule forecasting organizing and re-arranging in partnership with Supervisors.

  • Determining patient eligibility for dental and primary care programs according to program guidelines; triage of patient needs over the phone to determine and schedule appropriate appointments.

  • Registering demographic information guarantor accounts and insurance information into electronic health records.

  • Explaining dental access program limitations fee policy guidelines and financial obligation or receiving services.

  • Providing outreach to previously established clients to re-establish care; provide in-reach to primary care and other ICS services to help clients establish a dental home.

  • Coordinating and communicating with School and Community Oral Health team to connect clients from community-based outreach efforts with dental services.

  • Managing weekly reports verifying accuracy research discrepancies and re-trains staff as needed.

  • Developing weekly reports and spreadsheets for scheduling management and communications for dental leadership to track progress toward scheduling goals.

  • Supporting clinic leadership and teams by investigating and reporting access patterns for providers and ensures that access standards are maintained.

  • Developing and managing on-boarding training materials specific to roles and by tracking changes in department and County requirements.

  • Building and maintaining provider templates for each of the providers and staff with high accuracy.

  • Blocking schedules for providers according to approved time off requests.

  • Providing feedback to leadership around variances and issues such as number of no-show appointments accidental double-bookings etc.

Minimum Qualifications/Transferable Skills*:

  • Education/ training equivalent to completion of the twelfth grade.

  • Three (3) to six (6) years of relevant experience.

  • Must pass a reference check.

Work Location: This position works onsite at the Dental Clinics located at Mid County Health Center 12710 SE Division St Portland OR 97236 and at Rockwood Health Center 2020 SE 182nd Ave Portland OR 97233.

Serving the Public Even During Disasters:

Everyday Multnomah County staff work together to serve as a safety net for our communities. During a disaster this safety net becomes even more critical. All County employees have a role in serving the public during inclement weather natural disaster or other types of community emergency response. During these emergency responses while typically there begins with a call for volunteers county employees may ultimately be reassigned from their current position to a role in the emergency response in order to support the critical needs presented by our communities.
