As an Administrative Assistant youll be a key player in a dynamic and growing environment. Serving as the primary point of contact for the Plan A Corporate office you will handle phone calls and in-person interactions with professionalism patience and a strong customer focus. An energetic organized and creative approach will be essential for fitting into our collaborative culture and ensuring operational efficiency.

We are seeking a positive and dynamic Administrative Assistant to collaborate with our team in providing an exceptional customer experience with every interaction. The perfect candidate is a self-starter team-oriented individual who excels in a collaborative setting and is prepared to bring their enthusiasm to work.
Salary: $45 000 - $55 000

What we are seeking from you:
- Serve as the first point of contact for internal and external calls and inquiries efficiently triaging and tracking requests.
- Assist with the coordination and scheduling of vendors travel and other requirements for conferences.
- Assist with KPIs for the franchise system. Measure and determine potential areas of improvement.
- Maintain the Plan A Operations Manual and other key resources.
- Monitor various locations email inbox sort and reply to emails and screen job applications.
- Complete telephone pre-screen interview schedule interviews for potential candidates.
- Manage the senior staff managers and interviewers schedules on Calendly.
- Schedule and coordinate meetings appointments and events managing all related logistics.
- Prepare meeting documents agendas correspondence presentations (PowerPoint) and edit reports/publications.
- Take and distribute meeting minutes as required.
- Maintain and update contact lists.
- Assist with month-end duties including managing Staff Pool and Recruitment metrics.
- Organize and maintain files including sorting filing retrieving documents and managing receipts.
- Provide information on Plan As policies and procedures to employees and partnered homes.
- Develop proficiency in StaffStat software.
- Monitor and respond to general email accounts and inquiries.
- Ability to manage multiple calendars.
What you bring:
- Minimum of two years of experience as an Administrative Assistant.
- Must have a post-secondary diploma or degree in office administration or business administration.
- Must have proficiency in Microsoft Office Suite.
- Positive attitude with strong collaborative skills.
- Ability to take initiative be self-directed adaptable and innovative.
- Strong interpersonal skills including flexibility and teamwork.
- Excellent time management prioritization and organizational skills especially during high workload periods.
- Outstanding communication presentation and problem-solving abilities.
- Proficiency in French is considered an asset.
