Founded in 2021 Helicopters Without Borders delivers health and wellness services to remote and rural communities across British Columbia many of which have limited or no road access. Through innovative use of aviation HWB enables sustainable community centered access to care while operating with a strong commitment to cultural safety trust and impact.

HWB operates as a fast growing mission driven organization where flexibility initiative and accountability are essential. Team members are trusted to take ownership solve problems and help build systems in an evolving environment.

About the Role

The Senior Administrative Assistant is a critical right hand role to the CEO. This position exists to bring structure momentum and operational support to a busy leadership function where time is limited and priorities shift quickly.

This is not a traditional administrative role. It is ideal for someone who enjoys variety problem solving and being deeply embedded in the day to day operations of a mission driven organization.

This role offers strong potential to evolve into a Chief of Staff position over time based on performance capability and organizational needs.

Salary: CA$60000$85000/yr

Key Responsibilities

Executive and Administrative Support
  • Provide day to day administrative support to the CEO and leadership team
  • Manage calendars meetings and scheduling
  • Draft correspondence reports presentations and internal documentation
  • Prepare agendas meeting notes and board materials
  • Handle sensitive and confidential information with discretion and integrity
Office and Operations Support
  • Build and maintain organized systems templates and shared documentation
  • Support vendor coordination and office logistics
  • Assist with flight related administrative coordination
  • Use tools such as Google Workspace Asana Keela and AI enabled productivity tools to streamline workflows
Project and Stakeholder Coordination
  • Support cross functional initiatives and special projects
  • Track tasks deadlines and deliverables
  • Serve as a professional point of contact for partners donors and collaborators
Finance and HR Support
  • Assist with basic financial tracking and data entry
  • Support onboarding logistics and internal documentation


Requirements

  • Exceptional organizational and prioritization skills
  • Strong written and verbal communication abilities
  • High level of discretion judgment and integrity
  • Proactive problem solver who can anticipate needs
  • Comfort building processes and systems from scratch
  • Tech savvy with openness to AI enabled productivity tools
  • Valid drivers license and access to a vehicle
Work Environment and Expectations
  • First six months fully in office to support onboarding and relationship building
  • CEO travel may require full in office presence during certain periods
  • After ramp up flexibility for hybrid work arrangement
  • Occasional after hours work and limited travel may be required
