This is a remote position.
Position Summary:
You will be the backbone of the project lifecycle supporting sales representatives and clients from the initial quote through project completion. Your primary responsibility is to ensure that architectural plans are translated into accurate bids shop tickets are meticulously reviewed and project documentation is flawless.
Key Responsibilities:
Estimating & Bid Management
Create comprehensive bids for subcontractors and vendors based on architectural plans.
Prepare detailed material take-offs and interpret client specifications.
Assist in the preparation of RFPs (Request for Proposals) and manage the RFI (Request for Information) process by following up with clients and sales teams.
Technical Documentation & Review
Review and redline Shop Tickets before issuance to clients to ensure technical accuracy.
Transcribe client redlines and prepare Change Order RFPs as project scopes evolve.
Ensure all project data is accurately entered into the project tracking system.
Project Coordination & Sales Support
Maintain a rigorous electronic filing system (Dropbox/Salesforce).
Proactively contact customers to gather missing information or clarify project details.
Organize project meetings and offer recommendations regarding scheduling pricing and material alternatives.

Construction methods: Construction scheduling cost estimating and materials of construction
Ability to read architectural plans
Strong Attention to Detail Consistency & Strong Organizational Skills
Ability to apply common sense understanding to carry out instructions furnished in written oral form
Strong Data Entry Skills
Prior experience with AutoCad Salesforce Dropbox and PDF editor.
Previous work experience in the stone industry and/or as a materials estimator (Preferred)
Knowledge of Architectural Principles & Familiarity with various disciplines (Plus).

Role Overview: This VA will support sales and marketing by managing inbound leads driving outbound prospecting coordinating appointments and maintaining an organized high-performing sales pipeline in HubSpot. The focus is on maximizing voice-to-voice connections to generate meetings and closed deals.
