Job Summary

JOB SUMMARYThe Business Office Assistant provides on-site support to the Financial Operationsmanagement company. The Assistant handles all day-to-day cash and credit transactions andpurchasing processes. The Assistant also provides support for the Manager of RESPONSIBILITIESPurchasing & Receiving: Complete and maintain all purchasing processes for the school including documentingreception of all orders. Obtain all required signatures prior to paying any purchasing orders. Place orders within three (3) business days of receipt unless a shorter timeline isnotated by the requisitioner. Create blanket purchase orders for monthly bills. Research and document outstanding purchase orders over sixty days old. Verify General Ledger Account Codes and Job Codes are correct on requisitions. Provide guidance to employees on purchasing of Trustees Finance Committee and Foundation: Send meeting agendas to the State and the Board/Finance Committee 48 hours prior toscheduled meetings. Send Foundation meeting agendas 48 hours prior to meetings. Take accurate meeting minutes at scheduled Board/Committee/Foundation meetings. Transcribe meeting minutes and send drafts of meeting minutes to the ExecutiveDirector within one week of meeting : Perform all tasks required to maintain effective support for the financial operationsmanagement company. Keep all Foundation expenditures organized in a separate folder until the end of theyear when a summary invoice is prepared for payment. Track donations and gifts to the school and the Foundation and complete acceptancecorrespondence. Collect and record all Student Activity Athletic Program and Fundraising payments andfees and separate them by school or Foundation. Track student fee waivers. Prepare bank deposits on a weekly basis to be deposited on the last business day ofthe week. Assist the Manager of Food Services with lunch deposits and cost accounting. Safeguard all cash and checks in the locked cabinet at all times. Reconcile Petty Cash funds on a monthly basis. Provide assistance to the Manager of Human Resources as needed. Maintain amicable relationships with staff and students. Other duties as Associate degree or at least three (3) years experience in related field preferably in aschool or nonprofit setting. Proficient in Microsoft Office and Google Workspace. Experience using QuickBooks preferred. Accurate with numbers and detail oriented. Team player and self-starter in a challenging fast-paced environment. Ability to adaptand maintain professional boundaries with students staff families and communitymembers. Ability to maintain a high-level of confidentiality at all times. Ability to maintain a secure cash handling environment. Strong verbal and written skills. Ability to pass State CORI review and National Criminal Background Check.
