Job Summary

Job Description:

We are looking for a reliable and highly organized Virtual Assistant to join our team at Ascendant Insurance Solutions. As a Virtual Assistant you will play a key role in supporting the daily operations of our insurance company by performing a variety of administrative tasks and customer service duties.

Key Responsibilities:

  • Customer Service Support:
    • Respond to client inquiries via email chat or phone.
    • Provide general information about insurance products claims processes and policies.
    • Assist in scheduling appointments or consultations with insurance agents.
  • Administrative Tasks:
    • Manage and update client databases and records in the companys CRM system.
    • Assist in organizing and maintaining client files and documentation.
    • Schedule meetings calls and appointments for agents and clients.
    • Prepare and manage client communications including policy renewal reminders and claim updates.
  • Data Entry and Documentation:
    • Input update and maintain insurance policy details into the system.
    • Assist with the preparation and processing of insurance forms and applications.
    • Perform data entry tasks to ensure accuracy and consistency.
  • Claims Assistance:
    • Help clients initiate insurance claims by gathering required information.
    • Follow up with clients on the status of their claims and provide updates as needed.
    • Assist with the organization and submission of claim documents.
  • Appointment Scheduling & Coordination:
    • Coordinate and schedule appointments with insurance agents adjusters or other staff members.
    • Send out reminders for meetings policy renewals or deadlines.
  • Social Media & Communication:
    • Assist in managing and updating the companys social media platforms.
    • Monitor client reviews or inquiries on social platforms and respond as needed.
    • Assist with the creation and distribution of client newsletters or promotional materials.
  • Document Management:
    • Scan file and maintain digital records of policy documents claims and correspondence.
    • Ensure that sensitive client information is handled in compliance with privacy and data security policies.
  • Additional Duties:
    • Perform other general administrative tasks as needed to support the team.
    • Provide research and assistance on special projects as assigned by management.

Skills & Qualifications:

  • Proven experience as a Virtual Assistant or in a customer service/support role ideally within the insurance or financial services industry.
  • Strong organizational skills with the ability to multitask and prioritize effectively.
  • Excellent written and verbal communication skills.
  • High level of proficiency with office productivity tools such as Microsoft Office and Google Suite.
  • Familiarity with CRM software and other administrative tools is a plus.
  • Attention to detail and ability to work independently with minimal supervision.
  • Strong time management and problem-solving skills.
  • A professional demeanor and customer-centric attitude.
  • Knowledge of insurance policies claims and industry terminology is highly preferred.
