Leave Management Operations ManagerPosition Overview
LOCATION REQUIREMENTS:This position is a hybrid role requiring the associate to be in the office (Dalton GA) at least 2 days a week.
JOB DESCRIPTION:
The Leave Management Operations Manager will enhance the experience of Shaw associates and their families by overseeing the administration and operations of leave-related programs within the Total Rewards framework. This roleis responsible formanaging day-to-day operationalprocesses for leave management including Family and Medical Leave Act (FMLA) Short-Term Disability (STD) Long-Term Disability (LTD) and other leave programs ensuring alignment with The Shaw Way. The position leads a team of Leave Administrators drivingprocessstandardization continuousprocessimprovement and compliance with federal and state regulations.
The ideal candidate will provide strong leadership foster an inclusive team culture focused on exceptional customer service and ensure first-contact resolution for associate inquiries. They must manage multiple concurrent initiatives develop and track performance metrics pay meticulous attention to detail and communicate effectively with associates third-party vendors and internal partners. Balancing task-oriented execution with strategic thinking the candidate should be a quick learner adept at assessing situations and determining appropriate actions.
POSITION RESPONSIBILITIES:
Collaborate with the Sr. Benefits Manager to oversee operations administration and projects related to leave management programs as part of the Total Rewards strategy.
Build andmaintainrelationships with third-party vendors(Unum & Prudential) internal partners and Total Rewards teammates to ensure seamless program delivery.
Manage or resolve exceptions to support Shaws Associate Experience strategy.
Lead the administration of leave programs including FMLA STD LTD and other leave types ensuring compliance with plan guidelines and regulations.
Oversee the Leave Management call center and team inbox ensuringaccurateandtimelyresponses and serve as the escalation point for Leave Administrators.
Act as the subject matter expert on leave programs including eligibility documentation and coordination with benefits like Direct Bill while on leave.
Ensure compliance with federal and state leave laws including FMLA ADA and other applicable regulations whilemaintainingHIPAA compliance and protecting against liabilities.
Develop analyze and present reports on leave program data trends and vendor performance making recommendations for improvements as needed.
Partner with internal teams to ensureaccuratedata integration and interfaces within Workday and other systemsfor leavetracking and payroll accuracy.
Overseetimelyandaccurateprocessing of vendor payments related to leave programs.
Assistin creating communication materials to educate associates on leave policies and processes.
REQUIRED QUALIFICATIONS:
College degreewith 5 years of HR/Leave Management or Benefits-related experience.
High School Diploma with9 years of HR/Leave Management or Benefits-related experience.
Proven experience with HRIS systems (Workday preferred) Workforce (Time & Attendance)and call center platforms (e.g. Genesys).
Strong leadership and interpersonal skills with a proven ability to coach and develop team members in a collaborative team-oriented environment.
Exceptional customer service skills with a focus on associate satisfaction.
Excellent oral and written communication skills (bilingual preferred).
Self-motivated with the ability to work independently and manage priorities with minimal supervision.
Strong organizational and time management skills with a task-oriented approach.
AdvancedExcel skills(Pivot tables VLOOKUPs etc.)
Analytical skills to interpret data and drive decision-making.
In-depth knowledge of leave policies procedures and federal/state regulations (e.g. FMLA ADA ERISA).
Ability tomaintaina high levelof confidentiality.
Limited travel(approximately 2-4times annually).
