Priority Location: Latin America

Working Hours: 8AM - 5PM (Mon - Fri) Central / Pacific Standard Time

Salary Range: USD 1000 - 1500 per month (The final offer is at the clients discretion and depends on the candidates interview result skills and experience.)

Primary Objective:

The Sales Administrator provides critical administrative operational and customer support to the Business Development Team. This role ensures smooth execution of the sales process by managing documentation coordinating customer engagements supporting revenue recognition activities and assisting with day-to-day administrative needs. The ideal candidate is organized detail oriented and comfortable operating in a fast-paced environment.

Essential Duties & Responsibilities:

  • Maintain a Revenue Recognition Checklist for each deal to ensure all required documents (contracts SOs delivery confirmations invoices payment terms etc.) are complete.
  • Prepare monthly or quarterly commission reports ensuring alignment with approved compensation plans.
  • Prepare and organize the Quarterly Revenue Recognition Package for auditors ensuring all materials are accurate and audit-ready ahead of deadlines.
  • Work closely with finance operations and Account Management teams to ensure all required data is captured for revenue reporting and forecasting.
  • Maintain organized sales records documentation and data to support accurate bonus tracking and reporting.
  • Manage recurring administrative tasks within the sales cycle including quote follow-up order documentation and internal coordination.
  • Assist in gathering necessary information for sales order processing contract routing and internal approvals.
  • Ensure HubSpot shared folders and tracking systems remain up-to-date with accurate customer and opportunity information.
  • Serve as the primary point of contact for customer visits coordinating schedules and visits.
  • Partner with cross-functional teams to ensure polished and seamless customer experiences.
  • Provide administrative support to the Business Development Manager and team including:
    • Scheduling internal and external customer meetings
    • Calendar management
    • Preparing meeting agendas and follow-up notes
    • Processing expense reports
    • Managing travel arrangements for team members (if needed)
  • Assist with sales materials and customer-facing documents as needed
  • Partner with legal on routing NDAs contracts and other customer documentation.
  • Additional duties as assigned.

Qualifications:

  • 2 years of experience in sales administration sales operations or direct sales (preferably in technical or commercial environments)
  • Strong cold calling experience is required
  • Strong organizational skills with the ability to handle multiple tasks and deadlines
  • Excellent written and verbal communication skills
  • High attention to detail and accuracy especially with documentation and data entry
  • Proficiency with Google Workspace
  • Experience with CRM tools (HubSpot preferred)
