Job Summary

This is a remote position.

We are a U.S.-based custom cabinetry and residential construction company seeking a Construction Project Coordinator to support project administration change orders and billing.

This role ensures all work stays within scope is properly documented invoiced and collected. The ideal candidate is highly organized detail-oriented and comfortable enforcing processes.

Key Responsibilities:

  • Manage administrative operations for construction projects

  • Maintain organized project files and documentation

  • Prepare bids estimates and proposals from provided scopes

  • Create track and enforce project change orders

  • Ensure no work proceeds without approved change orders

  • Create and send invoices using QuickBooks Online

  • Manage AR/AP job costing and invoice follow-ups

  • Assist with payroll coordination and time tracking

  • Draft professional client emails and payment reminders



Requirements

  • Philippines-based fully remote

  • Strong experience with QuickBooks Online (construction preferred)

  • Experience with invoicing collections and payroll support

  • Highly organized with strong attention to detail

  • Strong written English and professional communication skills

  • Comfortable enforcing systems approvals and processes

  • Able to manage multiple projects independently

    Required Skills:

    Requirements Proven experience as a Virtual Assistant Customer Support Specialist or Project Coordinator Strong written and verbal English communication skills Comfortable making and receiving client calls Excellent organizational skills and attention to detail Tech-savvy and adaptable; able to learn new tools quickly Familiarity with Monday CRM or similar project management tools (preferred) Previous experience with US-based clients (preferred)
