Leading by example through interactive and hands-on approach manage the Y-Products Internal Sales team in the efficient processing of customer enquiries/RFQs preparation of accurate & professional fit-for-purpose quotations using CRM and the NMP quotation tool and subsequent processing of customer orders in strict compliance with Yokogawa internal systems & processes.
In collaboration with the Senior Manager: Y-Products Sales & Marketing make recommendations and maintain a continuous improvement approach to respond timeously to customer market and regional sales teams feedback/demands as well as industry best practice.
Optimize internal RFQ/Order handling processes while coordinating the implementation and effective utilization of CRM and NMP internal systems.
Continuously strive to meet or exceed departmental metrics with regards to response time (RFQ Enquiry) Quote/PO turn-around time and quality.
Work closely with Product Specialists to establish mechanisms to ensure the most cost-effective fit-for purpose application and instrument specification is proposed while ensuring technical and commercial compliance in respect of customer/end-user requirements.
Organize and train Internal Sales resources to ensure maximum efficiency and redundancy (-to support rotational/stand-in requirement) in the following key areas:
i. Effective collaboration and teamwork among the decentralized and multi-skilled pool of Internal Sales resources.
ii. Effective front-end processing & acknowledgement of Enquiries/RFQs/Orders received (i.e. via Infoblox fax telephonic etc.).
iii. Accurate compliant and timeous capturing of opportunities and customer/end-user registration procedures in CRM.
iv. Assignment of RFQs in CRM to the proposals team to maximize efficiency and meet/exceed RFQ turn around KPI.
v. Technical & Discount Tokuchu requests and approvals as required.
vii. TCAS and other regulatory/approval processes are strictly adhered to in accordance with internal systems and processes.
viii. Effective data management and administration i.e. ensuring that copies of quotations 3rd party offers Tokuchu approvals etc. are uploaded into CRM.
ix. Proactive evaluation of daily reports regarding quote/order tracking to identify and resolve any delays up and downstream of internal sales activity
x. Drive active opportunity status management and reporting by ensuring that all team members keeps CRM updated with its latest opportunity status.
Ensure RFQs floated to 3rd party sub-suppliers comprehensively specify all techo-commercial requirements in the original RFQ. Furthermore ensures that suppliers are selected competitively and only from Yokogawas list of approved vendors in accordance with Quality procedures and BBBEE procurement objectives.
Complete RFQ returnable with vendor information comprehensively e.g. customer Data Sheets should be accurately red lined to reflect exactly what is being proposed by Yokogawa.
Assignment of customer orders received to Order Handlers to maximize efficiency and meet/exceed customer order turn-around (KPI) to the Procurement & Logistics department while ensuring that customer-specific order requirements are met.
Partner with relevant departments (P&L Front Sales and Agents etc.) to maintain accurate feedback loop and to facilitate resolution of external and internal queries relating to Expediting and Order status
Maintain an up-to-date and comprehensive customer record system and comply with the customer complaints handling procedure.
Maintain an up to date filing system to ensure traceability of all quotations project documentation shipping instructions etc.
When called upon support Front-end sales teams in the preparation and delivery of pre-sales sales & post bid techno-commercial clarifications & presentations to customers.
Ensure that risk to the company is minimized by compiling appropriate responses to customers commercial terms and where there is uncertainty acquire in-house legal counsel and/or escalate to the FSD Manager Identify changes to scope and document in accordance with change management procedure and bests practice.
Ensure effective and compliant handover of order processing to Procurement & Logistics team as required by procedures and generate / monitor order tracking report.
Escalate delivery problems to management to prevent risk to customer satisfaction.
Always Ensure professionalism and projection of a proper image of the company and the Internal Sales team by monitoring and coordinating in accordance with HR procedures and assigned responsibilities.
Participate as a member of the sales team in the pursuit of its business activities especially at sales meetings training sessions and if required shows and conferences.
Adhere to the Yokogawa Authorization Rule.
Protect the organizations values by keeping information confidential.
21. Acquaint oneself with and strictly adhere to the Yokogawa policies procedures and guidelines in order to align oneself with corporate objectives.
Any other YMA compliance guideline documentation that governs specific sales activities.
Abide by the companys health and safety policy by ensuring the following:
Carry out in addition to day-to-day sales activities any tasks as deemed necessary by the FSD Manager or senior managers and respond positively to any other reasonable request pertaining to the job
