Rotating exhibits examine a broad range of topics from country classics to ultra-contemporary and emerging artists in the American Currents: The State of the Music exhibit. The museum owns Hatch Show Print a letterpress print shop opened in 1879 and it operates Historic RCA Studio B where Elvis Presley and many others recorded.

Departmental Overview: The External Affairs department supports divisional operations and organization of Development Education and Communications and Marketing departments. This position will primarily work with the Development department which oversees all philanthropy on behalf of the museum and stewards relationships of key organizational constituents; and the Education department which expands the themes and music explored in the museum galleries through engaging audiences in a wide range of activities and programs.
Position Overview: The External Affairs Information Manager provides administrative and data management to the External Affairs Development and Education departments. This position will manage essential processes supporting all aspects of the departments including Membership Major Gifts Grants School Programs Family Programs Community Outreach and Sponsorships. The position offers a mix of day-to-day maintenance tasks and ongoing project-based work. The External Affairs Information Manager will ensure accuracy and the highest level of customer service while maintaining confidential information and working in a high-volume fast-paced environment. An experienced Tessitura professional will manage the departments use of the Customer Relationship Management (CRM) system increase efficiency of the departments using technology train department staff on functionality of the Tessitura CRM and work closely with other departments to ensure interdepartmental needs are met. This position reports to the Director of External Affairs Events and Administration.
Specific Job Duties:
- Serve as the Tessitura super user and oversee its use for the External Affairs Development and Education departments.
- Liaison with IT department on Tableau reporting needs and the use of departmental Tessitura data within the Tableau environment.
- Oversee the processing and reconciliation of all Development and Education department revenue with Accounting department.
- Maintain the integrity and accuracy of the data used by the External Affairs Development and Education departments ensuring best practices for data entry are followed across the division. Conduct regular data review audits and standardization updates and larger data cleanup projects in collaboration with the IT department.
- Provide scheduled and one-off reports lists and Tessitura extractions with divisional staff for regular department operations.
- With IT department create and maintain departmental data structures within Tessitura as appropriate to support regular departmental tasks and monthly/annual reporting needs for the institution.
- Represent database and departmental needs at internal meetings.
- Manage divisional constituents within Tessitura and ensure processes are in place for regular maintenance of key groups (i.e. donors government officials board contacts schools etc.)
- Execute annual large data projects including donor screenings National Change of Address information review donation appeal mass-mailing lists and annual report donor listings.
- Oversee acknowledgement and tax receipt process and management of digital donor files.
- Prepare and format data from the Tessitura database for divisional use including extensive use of Excel and advanced formula entry.
Requirements
Minimum Requirements:
- Associates degree college course work or relevant experience in Non-Profit Management Development Education Administration Business Administration or related fields.
- Three years of Customer Relationship Management (CRM) technology experience.
Preferred Qualifications:
- Bachelors degree in Non-Profit Management Development Education Administration Business Administration or related fields.
- Preference given to Tessitura users in development and/or ticketing capacities at mid to large-sized arts & cultural organizations.
- Familiarity with Tableau analytics and reporting end-user interface or like application.
- Experience with budgeting and accounting.
- Passion for the arts museums community engagement and country music.
Key Qualifications (Knowledge Skills & Abilities):
- Proficiency in Microsoft Office Suite including advanced knowledge of Excel formulas and Word mail merge.
- Exceptional organizational and time-management skills with proven ability to determine business requirements multitask and prioritize effectively.
- Outstanding written verbal and interpersonal skills. Must work well with and interact with a broad spectrum of personalities and diverse populations.
- Ability to resolve conflicts and respond to inquiries in an appropriate and efficient manner. Will manage expectations of all invested parties and communicate resolutions effectively.
- Demonstrated ability to work independently with minimal supervision.
Conditions of Employment:
- Must be able to work occasional evenings and weekends to support External Affairs events.
- This position will report to work in office at the museum full time. Remote work opportunities are not offered.
