JOB SUMMARY:
The Settlements Officer is responsible for the accurate and timely execution of settlement-related tasks across the post-lodgement phase of the loan process from conditional approval through to settlement and post-settlement completion. This role focuses on managing individual files end-to-end under established workflows including ApplyOnline application maintenance MIR resolution valuation and pricing coordination lender and conveyancer liaison funding position updates and settlement readiness. The Settlements Officer ensures all documentation deadlines and compliance requirements are met to support on-time settlement outcomes. Operating under the guidance of the Settlements Lead the Settlements Officer plays a critical hands-on role in progressing files escalating risks appropriately and maintaining clear accurate records and communications to deliver a smooth settlement experience for clients and stakeholders.
KEY RESPONSIBILITIES:
Applications & Approvals
Submit and maintain loan applications via ApplyOnline ensuring accuracy correct formatting and full lender compliance.
Manage Approval in Principle (AIP) expiry dates and convert preapprovals to full applications including lender-required amendments at formal stage.
Track applications through assessment proactively managing MIRs and outstanding conditions in collaboration with Parabrokers and the Settlement Manager.
Monitor lender SLAs escalate delays where required and keep stakeholders informed until formal approval and document issuance.
Valuations Pricing & Structuring
Order monitor and escalate valuations in line with loan structuring and lender requirements.
Request and negotiate pricing approvals liaising with lenders and BDMs to secure optimal terms.
Maintain accurate funding positions in BrokerEngine ensuring loan structures contributions and settlement figures are correct.
Settlement Coordination
Manage finance and settlement due dates identifying and mitigating risk to ensure deadlines are met.
Coordinate loan documentation issuance and execution with lender settlement teams and solicitors.
Liaise with client conveyancers to resolve certification items manage contribution funds and coordinate settlement bookings.
Manage the To Action folder assigned tasks and contracts endorsed by the Settlement Manager.
Financial Administration
Prepare and issue invoices manage reimbursements and complete pay runs in Xero ensuring accuracy and timeliness.
Execute settlement support tasks including document dispatch and invoice tracking.
Post-Settlement & Ongoing Support
Complete all post-settlement checklists ensuring files are closed accurately and compliantly.
Manage post-settlement record keeping and client communications.
Core Skills
