To achieve the timely and efficient delivery of Facility Management services to HSBC and support of their business needs in accordance with the Service Levels and Key Performance Indicators set out below.

Duties & Responsibilities

Deliver high quality prompt and courteous Facility Management services in support of the HSBCs business needs in a safe working environment.

Front Dest Service:

前台服务

As a front desk clerk the one should be mature on front desk service and front desk service team management. She/he should take the responsibility to match the service goal by FM and fully understand and strictly follow up company related policy.

• Assist with the monitoring of Office Facilities and Critical Environments
• Responsible for monthly report update.
• Assist with scheduling contractors for preventative FM maintenance to limit downtime for all critical equipment
• Assist with reporting on Facilities Management
• Assist with arranging ad-hoc FM repairs as required
• Follow established escalation procedures and incident reporting procedures

Facility Management:

• Assist with the monitoring of Office Facilities and Critical Environments

• Assist with scheduling contractors for preventative FM maintenance to limit downtime for all critical equipment

• Assist with arranging ad-hoc FM repairs as required

Environment Management:

环境管理

• Assist FM/FO to ensure a good office environment including arranging ad-hoc office fabric repairs and monitoring landscaping services and cleaning services
• 协助设施主管向服务客户提供一个良好的办公室环境包括安排即时性的办公室结构维修以及监督景观美化和卫生保洁工作质量
• Highlight and promote company sustainability initiatives as appropriate.
• 视情况筹划提出公司可持续性倡议

Vendor Management:

供应商管理

• Meet with CRE to understand HSBCs needs.
• 与汇丰银行公司房地产部定期召开会议了解客户的诉求
• Work with FM Management teams to arrange and process of FM contractor bids
• 与管理团队密切配合安排和参与服务供应商的竞标遴选程序
• Assist with evaluation of FM contractors service performance.
• 协助对服务供应商的工作质量和服务表现进行评价
• Checking that suppliers have correct identification in accordance with our requirements.
• 依据既定的工作要求检查服务供应商是否对服务内容服务时效等有正确的认知

Customer Service/Client Relationships:

客户服务/客户关系维持

• Keep good communication with RBWM & CRE teams to ensure customer satisfaction regarding FM services.
• 与零售银行部及房地产部保持良好的沟通确保客户方面对综合设施管理部的工作有较高的满意度
• Pantry Goods - Submit purchase request for CRE approval purchase from approved supplier on JLL system only and ensure delivery is on time with accurate quantity.
• 茶水间易耗品-短缺时提交采购补充申请给房地产部审批从经过批准的仲量联行供应商列表中选择采购供应商并保证按时按质地运送
• Ensure FM operations procedures are followed to ensure service standards are maintained.
• 保证综合设施管理部日常营运规程被严格遵循保证既定的服务标准能够被一直保持

Payment & Billing Management:

支付和账单管理

• Assist to receive and verify the monthly statements from FM vendors for FM services.
• 协助收取和核对从服务供应商那里获得的月度服务结算单
• Allocate expenses and prepare reports as per FM management team direction.
• 依据管理团队的指示分配费用和准备费用报告

• Assist FM to do financial accruals.
• 协助本部门进行费用预提的工作

Space Management:

空间布局管理

• If required assist with providing an accurate seating plan to support space management on monthly basis to Space Data Management team.
• 如有需要协助提供准确的工作位空间格局计划每月度向汇丰银行空间数据管理团队进行报告

Other:

其他职责

• Assist FM/CRE team to seek ways to reduce costs and improve operational standards.
• 协助综合设施管理部及汇丰银行房地产部寻求成本节约解决方案提高营运服务标准
• Coordinate with the landlord on a day to day basis regarding operational issues. Ensure FM management team aware of any important issues and escalate to CRE Estates Management team as required.
• 就设备设施管理事务与楼宇业主进行每日磋商和沟通确保设施管理服务团队知晓和关注到任何重大的事项如有需要及时升级上报给汇丰银行房地产管理部
• Assist with JLL FM reporting including monthly reporting requirements.
• 协助履行仲量联行设施管理部的月度报告义务
• Supervise JLL-employed receptionists and tea ladies as appropriate to FM scope at site.
• 监督管理仲量联行委派的前台接待员和端茶小姐的工作是否完全符合职责要求和服务规范
• Back up JLL-employed receptionists if necessary and as appropriate to FM scope at site.
• 如有需要随时支援前台接待员的工作并符合该岗位职责要求和服务规范
• Any other duties assigned by the Facilities Manager.
• 其他综合设施管理部经理交派的工作或任务
