PURPOSE OF THE ROLE
The BBC Scottish Symphony Orchestra Scotlands national broadcasting orchestra since 1935 performs across Scotland the UK and internationally with regular broadcasts on BBC platforms. Renowned for its adventurous programming it champions new music through commissions and its annual Tectonics Festival. The orchestra engages communities through creative projects and supports emerging talent via partnerships with educational institutions and competitions. Its Chief Conductor leads a diverse repertoire and the orchestra regularly features at major festivals earning prestigious awards for its work.
WHY JOIN THE TEAM
The BBC Scottish Symphony Orchestra is seeking a dedicated and experienced Business Coordinator. This is an exciting opportunity for someone with a strong administrative background to join the team managing the orchestra. Working on live events in including concerts in Glasgow BBC Proms Edinburgh International Festival and live Radio 3 recordings. This is a 0.8 (28-hours per week) 1-year fixed term contract.
YOUR KEY RESPONSIBILITIES AND IMPACT:
- Recruitment - Coordinate and manage auditions scheduling shortlisting and maintain records.
- ITC Act as Information Technology Coordinator for the SSO.
- Concur Act as an approval delegate for all SSO expenses and maintain records.
- Purchasing - Handle purchasing and maintain records. Organise POs and freelancer onboarding and payments via Smartbook.
- Concerts: Provide cover for concerts and rehearsals as needed.
- Touring: Organise visas manage freight/carnet records and arrange insurance approve expenses claims manage allowance/travel spreadsheets set up per diems and support staff with claiming.
YOUR SKILLS AND EXPERIENCE
ESSENTIAL CRITERIA:
- Proven experience of providing administration assistance in an arts organisation
- Organised with ability to prioritise own workload effectively to coordinate activities and conflicting demands to ensure that tight deadlines are met.
- Good communication skills both orally and in writing and (with guidance) the ability to target content for the audience.
- Proven ability to work constructively in partnership with a range of individuals.
- Basic analytical skills with experience of providing MI data reports / strong computer skills with strong experience of office software packages (i.e. Word Excel and PowerPoint).
- Ability to work with limited supervision using own initiative to resolve most problems.
- High attention to detail and practical experience of gathering analysing and collating complex and confidential information
DESIRED BUT NOT REQUIRED:
- Ability to read music.
- Knowledge of orchestral music
- Relevant business management and/or project management qualification.
