Reporting to the Director of Enrollment Marketing the Creative Operations Assistant provides essential administrative production and coordination support to help bring Emersons enrollment storytelling to life. This role supports the Enrollment Marketing team by organizing project workflows preparing materials for design and multimedia work coordinating photo and video logistics managing digital asset libraries and assisting with the development and distribution of marketing collateral. While not responsible for the full creative execution of campaigns the Creative Operations Assistant plays a vital role in ensuring that creative projects run smoothly deadlines are met and visual content is delivered with consistency and accuracy.

ESSENTIAL JOB DUTIES

Project and Administrative Support

  • Track creative project timelines deliverables and approvals.
  • Prepare project briefs collect necessary assets and organize materials for designers and multimedia staff.
  • Manage calendars coordinate meetings and support communication across Enrollment Marketing.
  • Assist in maintaining brand and accessibility documentation.

Creative Operations and Asset Management

  • Organize and maintain digital asset libraries including photos video files and design resources.
  • Support basic formatting or resizing of existing graphics (no original design required).
  • Assist with proofreading version tracking and quality checks on creative materials.

Photo and Video Coordination

  • Manage scheduling and logistics for photo and video shoots.
  • Support on-site needs such as release forms location preparation and shot lists.
  • Assist with vendor communication and ensure assets are delivered and cataloged appropriately.

Social Media and Digital Support

  • Prepare files and metadata for social media posting in collaboration with the content team.
  • Help ensure digital content follows platform specifications and brand guidelines.

Vendor and Production Support

  • Coordinate with printers promotional vendors and freelancers for estimates timelines and delivery.
  • Track invoices budgets shipments and production schedules.
  • Support ordering and inventory management for promotional items and event materials.

Collaboration

  • Work alongside Enrollment Marketing Admissions Student Financial Services and Central Marketing and Communications to support integrated campaign execution.
  • Participate in creative meetings to provide logistical input and ensure smooth project handoffs.

QUALIFICATIONS Qualifications are deemed required or preferred and represent what is needed to effectively perform job.

  • Associates degree or equivalent experience required.
  • At least two years of experience in administrative support marketing support or related office roles required.

KNOWLEDGE SKILLS AND ABILITIES May be representative but not all-inclusive of those knowledge skills and abilities commonly associated with the job.

  • Strong organizational and communication skills.
  • Ability to manage multiple projects and maintain accuracy.
  • Comfort working with digital tools and learning new software.
  • Familiarity with Adobe Creative Cloud or interest in developing basic proficiency.
  • Experience in higher education or a creative environment.
  • Interest in visual storytelling digital media or marketing operations.
  • Experience coordinating events vendors or complex schedules.
  • Strong creative and aesthetic judgment with the ability to translate strategy into design.
  • Ability to produce high-quality creative work on tight timelines.
  • Excellent collaboration and communication skills with cross-functional teams.
  • Knowledge of production processes for both print and digital deliverables.
  • Ability to manage budgets vendors and multiple concurrent projects.
  • Familiarity with social media trends and digital storytelling best practices.

  • This position is generally sedentary in nature with movement throughout the area required from time to time.

  • Repetitive movements occasional lifting of up to 10 pounds reaching lifting stooping and the ability to read a computer screen detect color-coding and read fine print will be expected.

Compensation: $22.25 - $26.65 hourly commensurate with experience.
